NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) FACULTY OF HEALTH SCIENCES DEPARTMENT: PHYSICAL ACTIVITY SPORT AND RECREATION (PhASRec) POSITION NUMBER: TB00336 VACANCY: ADMINISTRATIVE ASSISTANT PEROMNES: P13 EMPLOYMENT TYPE: TEMPORARY FIXED-TERM APPOINTMENT PURPOSE OF THE POSITIONTo provide the support needed by the Research Director with Post Graduate students to increase research outputs and ultimately the NWU’s vision to be an International leader in education, innovation and research.KEY RESPONSIBILITIES:System & Office SupportSystem and Office administrative support.General communication administration.Correspondence and records management.Provide support to PhASRec Scientific committee, record keeping of research projects and outputs.PhASRec Postgraduate Workshops, meeting arrangements and sending Zoom/MS Teams links to all participants for online sessions.Quality manual and annual report administration.Stakeholder relations and support.Travel arrangements logistics.Financial administration.Logistics and Ad-hoc tasks.Responsible for data collection, formatting and report compilation of Post-Graduate students.Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.Distribute documentation to students and other relevant people.Support PhASRec to plan, implement, systems and procedures to evaluate and monitor student’s academic progress.Resolves problems/discrepancies and communicate with a variety of administrative and professional employees within and outside the university.Plan and delivers information, ensuring that resources are available and required income levels are achieved.Contributes to the management of quality, audit and other internal and external assessments.Ensure that administration (data bases, bursaries, reports, warnings, outputs, results, payments, etc., are up to date)To ensure compliance to university and faculty rules regarding research processes.Demonstrate clear understanding of NWU strategic goals and values supported by guidance from the line manager.Records management of the Post-Graduates and manuscripts submission records according to established file structure.Stakeholder Relations & SupportAct as the key contact and account manager for identified client liaison and commercial practices, ensuring profitable, repeat business.Clarify the requirement for efficient work, agree on clear task objectives, organize work fairly according to individual abilities; focus efforts on the task at hand and motivate individual team members.Initiate, build or lead internal and external networks; maintain relationships over time; establish communication channels for self or others to use in order to ensure dissemination of information in the right format to the right people at the right time; build relationships and contacts to facilitate future exchange of information.Liaise with colleagues, students and staff to exchange information and discuss matters relating to operations.Liaise and negotiate with professional bodies and associations.Establish key relationships within the Faculty, with key stakeholders (administration, institutional office) with national and international organisations as per agreements.Manage the interface between the Director, Dean’s office, students and outside stakeholders.Financial AdministrationProvide input to department budget, regarding improved efficiency and cost savings.Perform financial administration for the school/faculty (organisation unit) as well as for specified projectsAdminister all payments and the procurement of goods and services.Ad-Hoc TasksPerform ad hoc administrative tasks as assigned by superior for general functioning of the unit. A Grade 12/ National Certificate (NQF level 4).A minimum of two (2) years’ experience in a secretarial and/or administrative environment.A minimum of two (2) years’ experience in the required areas of work e.g. student registration.ADDED ADVANTAGEA Secretial / Administrative Certificate OR Diploma in Admin & Management.A minimum of two (2) years’ experience in post-graduate workshops organisation and coordination.KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:Computer skills and knowledge of relevant office administration software such as MS Office Suite, GroupWise, etc.Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.Principles and processes for providing customer and personal services, including customer needs assessment and appropriate response.Knowledge of the structure and content of the appropriate language including the meaning and spelling of words, rules of composition, and grammar.Knowledge of applicable systems: Student system, Financial system, etc.Financial administration and budgeting.Office administration in higher education institutions.Ability to effectively liaise and communicate with the public, students and colleagues at various levels and from diverse backgrounds.Customer service orientation by responding to clients’ requests promptly and effectively.Understand external debtors and creditors.Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.Accuracy and attention to detail to deliver accurate products conforming to applicable quality standards.Ability to work independently or as part of a team.Discretion when handling confidential and sensitive information.Post-Graduate workshops organisation and coordination.Knowledge of research processes.Skills in research publication processes.Written language ability with respect to spelling, grammar and punctuation to produce letters and short reports.Ability to organise administrative tasks effectively, meet deadlines and delegate to team members where applicable.Accuracy and attention to detail to deliver accurate products conforming to applicable quality standards.Ability to work independently or as part of a team.Discretion when handling confidential and sensitive information.
