We are looking for a highly skilled and experienced professional to supervise all the administration systems, duties and functions at our Cape Town Office in Blackheath. The Administrator / Administration Manager will be responsible for planning, streamlining, and executing administrative workflows and procedures to align with Head Office and customer requirements. The successful person will oversee all the administrative activities, including but not limited to the finance, payroll documents, recruitment documents, quotations, procurement, office equipment, stationary and consumables, reports and customer communication. The Administrator / Administration Manager will also provide guidance and implement process and system changes to enhance overall efficiency and ensure the smooth running of all branch administration while complying to all company policies and procedures. Establish conduct and workflow standards for the Cape Office in compliance with Head Office and customer requirements. Remove productivity roadblocks and administrative bottlenecks to ensure process flows and deadlines are met. Ensure processes and procedures comply with relevant policies procedures, SLA's and Head Office requirements. Streamline administrative operations. Ensure that operational management follow recruitment and training processes and procedures. Plan and streamline all administrative procedures. Manage staff productivity to ensure that all payroll and finance deadlines are met. Monitor office supplies and consumables. Encourage effective communication between operations and administration. Build strong relationships with clients. Develop and implement office policies and procedures. Continuous communication with clients. Ensure that all procedures are followed for new client onboarding or termination of client contracts. Set up branch deadlines to ensure that Head Office and Client deadlines are continuously met. Assign administrative duties to ensure even work distribution and multi skill staff to ensure succession for each position to eliminate risks to the company. Perform monthly audits on sites to ensure that physical headcounts match billing headcounts. Check all administrative documents and monitor all relevant client portals to ensure client billing procedure requirements are met and complied with. Control staff uniform inventory – issuing and receiving of uniform from suppliers and terminated employees. Manage and control the finance administrations for the branch. Manage and control the payroll and recruitment documents required by head office for payment of staff. Compile reports and perform various administrative duties. Manage and control all finance and employee files. Identify and resolve client finance queries and complaints. Ensure that all relevant finance documents with require signatures as per client SLA's are sent out, collected and returned to head office as per procedure. Support Branch General Manager with various duties to ensure the smooth running of the Cape Office and Operations. Relevant B Degree or 3-year Diploma will be preferred. No less than 5 years' Administrative Management experience in a medium to large corporate company. Previous experience in the Security Industry will be an advantage. SKILLS AND ATTRIBUTES: Highly analytical with excellent problem-solving skills Capable of clearly communicating with others Superb organizational and time-management abilities Competent computer literacy Managerial experience in an office setting In-depth knowledge of Microsoft Office Knowledge of Sage 1 preferred Outstanding planning and organizing abilities Comprehensive understanding of office management processes Demonstrable resourcefulness in high-stress situations Negotiable market related salary.
