The Orders Administrator plays a crucial role in managing the order processing and fulfilment operations of the company. This position involves handling incoming orders, coordinating with various departments to ensure timely delivery, and maintaining accurate records of transactions. The Orders Administrator will work closely with the sales team, warehouse staff, and customers to ensure a smooth fulfilment of orders. First Respondent to Customers – Reception, Switchboard management, Drop In customers. Orders Management and Invoicing Handling enquiries through mailboxes Liaison and troubleshooting with IT Office petty cash management, including requisitions and balance reporting on Fridays. Customer Relationship Administration: Respond to customer orders via email, WhatsApp, or phone. Solve customer challenges. Daily processing tasks include quotes, payments, invoices, courier bookings, and delivery notes. Debtors function including statements, collections, and payment allocation. Quote and Book transport logistics Team meetings with production planning, warehouse administration, month end Reports: Reporting on sales, dispatch, customer trends, and sales projections Reports to streamline PFI/invoices and dispatch traceability. Qualifications: ·Matric Experience: Sales and bookkeeping knowledge ·Quickbooks Online proficiency Stock control experience. (Verifiable) Proficiency in Excel, Word, and Outlook Minimum of 3 years of relevant, current experience Good communication skills Team player with a customer-focused mindset Good English language skills Professional phone manners Proactive and honest with integrity Basic understanding of the Consumer Protection Act, Food and Cosmetics Act, Food Safety, R638. (in House training for updates) Systems: Quickbooks Online (QB) SOS (Stock Management System) Microsoft365 (Excel, Word, SharePoint) Outlook for email Microsoft Teams for remote meetings This is an in-office position (no remote work), 5 workdays per week.
