Business Development Administrator - Johannesburg

A leading developer, owner and operator of electricity generation assets in Africa. Its experienced team of professionals have built a diverse portfolio of independent power plants, in jurisdictions across Africa, with further growth across Africa under development.

This role will support growth by providing support to the Southern Africa business development team. The Southern Africa business development team seeks to develop and acquire power generation assets across the region and actively manages a pipeline of potential projects at various stages of development.

Key Responsibilities
Provide administrative support to the Business Development (BD) Director level
· Coordinate and book travel and associated arrangements for renewable-focused BD team: South Africa and other BD, in alignment with the Travel Policy.
· Arrange visas where required.
· Diary Management using MS Outlook, responsible for arranging meetings, lunches, restaurant bookings, booking meeting rooms and venues, welcoming visitors, etc.
· Prepare and process monthly cash and credit card expenses for BD Directors based in South Africa.
· Update the Action List during internal BD meetings and send out follow-up reminders to ensure staff action on outstanding items.
· Maintain a telephone directory of contact details for project partners and consultants.
· Provide project support where required to all Business Development Project Leads where required.
· Support the Southern African BD team in their day-to-day project development activities.

Oversee BD administrative activities
· Provide ad hoc support to staff when visiting (e.g. courier, shuttle, accommodation, flights, etc.).
· Raise Purchase Requisitions and Purchase Orders to ensure that supplier invoices are paid by Finance in a timely manner.
· Liaise with the Finance department in the various entities to follow up on payments and request proof of payments.
· Request supplier statements and sending proof of payments to suppliers.
· Maintain a record of all project costs, collating, and saving all project-related invoices in a data room in preparation for the projects Financial Close.
· Assist the business development team in the preparation and submission of expense reimbursement claims.
· Establish and maintain a BD office filing system (electronic and hard copy)
· Responsible for maintaining a directory of contact details of key project partners, consultants and other stakeholders.
· Arrange ad hoc requests such as internal training, media briefings, various applications, office pictures, office tools, etc.

Provide support for BD public relations and internal work / social functions
· Coordinate internal events, venue booking and partner engagements.
· Co-ordinate external events in conjunction with the PR Consultant and event coordinators where applicable.
· Arrange annual industry events.
· Arrange and set up marketing material at venues as applicable.

And any other duties, as assigned by the line manager, in line with the role.

Experience, Knowledge and Qualifications
1. Certificate in Administration or NQF level equivalent is preferred.
2. Good IT skills highly proficient in MS Outlook, MS Word, MS Excel. Proficiency in PowerPoint would be advantageous.
3. Experience in integrated information management system platforms such as SAP and SharePoint.
4. Minimum 3 years experience working on ERP systems.
5. Minimum 3 years experience in a corporate environment - PA/Secretarial/Administration function.
6. Event coordination would be advantageous.
7. Drivers license and own transport required. Apply Now
