This position will be Responsible for providing effective and efficient administrative services to support the Council and High Impact Committees. The Committee Secretariat will ensure compliance with relevant regulations and governance codes, while also playing a crucial role in meeting management and fostering effective communication among Council/Committee members.The successful candidate will report to the Assistant Council Secretary. The seniority and grading of the role will be determined during the recruitment process Provide secretariat administration services in line with approved policies and standards; Confirm logistical arrangements (flights, accommodation, shuttle, car hire) with stakeholders, according to budget, in consultation with the Assistant Council Secretary and/or Council Secretary; Arrange for meeting rooms and catering services in line with the Supply Chain Management policy; Adhere to Council approved schedule for meetings; Accurate claims forms submitted to Accounts Department in line with Approved Procedure; Record keeping of all relevant information and documentation; When required, facilitate the appointment of transcribers in consultation with the Assistant Council Secretary and/or Council Secretary and confirm appointment of transcriber in writing, when required; Back up all information on the internal electronic system; Prepare Agendas and meeting packs in consultation with the Assistant Council Secretary and/or Council Secretary; Taking, writing and maintaining minutes of Council/Committees; Keeping a register of Council/Committee resolutions as prescribed and assisting in giving effect to the decisions of the Council/Committee as per the Council/Committee resolution; Maintaining and updating the declaration of interest register; Assist in the compilation of committee reports in consultation with chairpersons; Ensuring that institutional memory is preserved and that knowledge which has been accumulated is accessible and shared; Ensuring that all information and records which are a responsibility of the Office of the Councill Secretariat are managed in terms of all applicable legislation, regulation, frameworks, policies, systems, plans, best practice and our Records Management Standard Operating Procedures Bachelor's degree in Business Administration, Law, or a similar field- not negotiable Minimum of five (5) years relevant experience in a secretariat environment, with two (2) years at a board/council support level; Chartered Governance institute of Southern Africa (CGISA) qualification advantageous; Membership of the CGISA advantageous.
