CONTRACT ADMINISTRATORQualificationsNational DiplomaExperience: 3 5 years relevant Contract Administration experienceCompetence in SAP and Coupa position specific modulesResponsibilitiesPrepare and assist with all contract meetings.Write memorandums, letters, modifications and site instructions with assistance from the Project Manager.Assist with claim evaluations if needed.Track and monitor progress on all areas relevant to the contract.Update, expedite and track claims, letters, quotes, notification registers and contract modifications.Assist and guide contractors as and when needed.Assist construction-, contract- and project manager where needed.Maintain an audit file for each contract which will include all items as per the contract file index.Perform closing activities of the contract as needed.Prepare and disseminate information to the appropriate employees regarding contract status.Analyse and mitigate risk together with the contract manager.Preparing and updating the contract G01.Prepare, process and track CAR's and/ or NCRs.Process and track TQNs and/or concessions.Follow up on relevant action items relating to the contracts.Show out contractors deviations from the contract to the contract manager.Assisting the contract manager with updating of the T-accounts (Contract managers are responsible for time and cost information).Make sure team is aligned with requirements.Managing/updating the Procurement Operating Plan.Assist in writing the Procurement Management Plan.Assistance with approving enquiry before it is sent to the market.Compiling enquiry and relevant documentation and issue to Supply Chain Management to formally send into the market.Compiling tender clarifications with the project team.Assisting with tender evaluation meetings.Assisting with tender adjudication meetings.Assisting with contract/tender briefings.Assisting with Procom meetings.Assisting with site kick-off meetings and compiling of the kick-off presentation.Compile and issue enquiry handover file to site contract administrator.Reporting on the status for each contract with regards to close-outs.Reporting on the status of documentation on the G01.Reporting on the daily diary register.Reporting on the correspondence register.Reporting on CAR's, NCRs, TQNs, SI's and concessions.Coordinate reporting on the Procurement Operating Plan and the status of the enquiries.Continuous mentorship of Contract administrators.Monitor and track portfolio contract performance.Continuous improvements in systems related to procurement and contract management.
