Purpose of the position: To manage and maintain accurate records of financial transactions related to the repair and maintenance of vehicles. The Costing Clerk plays a crucial role in ensuring the efficient and cost-effective operation of the body shop by overseeing the financial aspects of the repair process. Regular assigned tasks and responsibilities will include but are not limited to the following: Estimation and Cost Analysis: Collaborate with technicians and assess vehicle damage to provide accurate repair cost estimates. Analyze costs associated with parts, labor, and additional services required for vehicle repairs. Job Costing: Assign and track costs associated with each repair job, ensuring accurate allocation of expenses. Monitor and update job cost records throughout the repair process. Parts and Inventory Management: Coordinate with parts suppliers to obtain accurate pricing and availability information. Maintain an organized system for tracking and replenishing inventory of commonly used parts and materials. Invoicing and Billing: Generate and issue invoices to customers for repair services, ensuring transparency in cost breakdowns. Verify that all billed services and parts align with the initial repair estimates. Communication with Technicians and Customers: Communicate effectively with technicians to obtain information on repair progress and any additional costs incurred during the process. Address customer inquiries regarding repair costs, providing detailed explanations as needed. Quality Control and Assurance: Collaborate with quality control personnel to ensure that repairs meet established standards. Verify that all parts and labor costs align with the quality of work delivered. Record-Keeping: Maintain accurate and up-to-date records of all costing-related transactions, including estimates, invoices, and job cost summaries. Reporting: Generate reports on job costs, revenue, and profitability for management review. Provide insights and recommendations for cost-saving measures and process improvements. Supplier Negotiation: Negotiate with parts suppliers to secure favorable pricing and terms, contributing to overall cost efficiency.
