The Engineering Council of South Africa (ECSA) is a statutory body charged with the mandate to regulate the engineering profession in accordance with the Engineering Profession Act 46 of 2000. Position Summary : The Executive Assistant: Corporate Support Services has become available. The successful candidate will report to the Executive: Corporate Support Services and will be responsible for providing executive and administrative support to the Corporate Support Services Division. Act as a first point of contact dealing with correspondence and phone calls; Manage and coordinate the diary of the Executive by prioritising and arranging internal and external meetings; Plan and organise travel and accommodation when required; Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Executive are met; Provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Executive; Provide support for Council meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating documents and reports, taking minutes and following up action points; Support the Executive to keep the Council informed about the work of the organisation; Service meetings of the Executive Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points; Plan and manage Executive office-led organisational events such as Staff Meetings, Management Meetings and Executives Meetings and others as required; Participate and contribute to organisational/team meetings as required; Provide reports for the Executive as required; Carry out all the duties with complete discretion and a high regard for confidentiality; Ensure that work is carried out in accordance with ECSA's values, policies and procedures; Any other duties relevant to the needs of the organisation and as directed. Minimum three (3) years Diploma in Office Administration / Management; Ten (10) years experience in office management with five (5) years at an executive management/board/council support level; Excellent communication skills; Strong writing skills and presentation skills; Excellent planning, organisational and interpersonal skills; Ability to make sound decisions; Advanced use of Microsoft Office suite.
