HR manager - Durban

Overall scope of role

The HR and Payroll Manager for National Adhesive Distributors and Uni-Continental (Natal) will be responsible for the maintenance of all HR and IR related information, and will be the first point of contact for any HR and IR related matters, offering support to Line Managers and employees.

Key responsibilities

Maintaining personnel records for all staff, including employment records, job descriptions,leave records etc Communication with unions and staff adherence to company policies and procedures CCMA hearings preparation and attendance Recruitment as well as staff on-boarding and exit Administration, capture and finalisation of monthly payroll related information to Sage VIP, or alternate payroll package as required Provident fund administration Revise company policies as required

Detailed Responsibilities

Maintaining Personnel Records

Completing all necessary documentation for "on-boarding" of staff Ensure new recruit has necessary equipment IT, telephone, business cards, etc Orientation pack to be completed on employment All documents to be stored both electronically as well as physical records Annual updating of personal data for all staff Preparation of any HR documents as required Loan Agreements, Training Agreements, etc Preparation of all documents required on Exit, and ensure all assets are returned Maintaining and reporting of accurate leave records

Payroll Administration

Responsible for managing payroll processes from end to end and ensuring timely and accurate payment of all employee salaries. Maintain accurate payroll information and reporting

Provident Fund Administration

Ensuring all documentation provided when employee joins Provident Fund Maintaining Old Mutual portal, and updating data base monthly Ensuring withdrawal of funds on termination, or in case of Death/Funeral Benefit Updating of Beneficiary information for Provident Fund

IR

Administrate, schedule, witness, or chair disciplinary hearings. Attending and taking Minutes at Staff Representative Meetings Taking Minutes at any relevant Meetings as required Facilitate positive relationships between staff and management

Employment Equity

Liaise with Outsource providers regarding Employment Equity matters Provide monthly EE data to outsource provider Attending and participation in EE Meetings

Recruitment

Liaise with Line Managers regarding recruitment requirements Ensure Job Descriptions available for all roles Letters to advertise, and deal with Recruitment Agencies if necessary

SARS, Department of Labour and Stats SA

Preparation and submission of monthly EMP201 Reports Preparation and submission of half yearly EMP501 and IRP5 information Preparation and submission of any SARS verification information, if necessary Administration of COID claims Annual COID returns, and any other Department of Labour audit information as required Maintain register of IODs Submission on Employment Stats returns as required

Training

Maintain and development of Training programmes, in consultation with outsourced Training Officer and Training Providers Maintain electronic training register and copies of certificates Submission of Skills Plan in conjunction with outsourced provider

NUMSA

Monthly submission of Union Fees schedule All correspondence with regards to NUMSA issues Participation in meetings held with NUMSA representatives, and minute taking if necessary

General Administrative duties

Preparation of Long Service Awards assist with Year End function Liaise with Marketing department with regards staff events, fun-days, team building Ordering of Fleet cards for staff change of vehicle Ensuring cell phone contracts, data contracts for applicable staff are up to date, and renew Updating of Policy and Procedures as required Preparation of Monthly salary journal from Payroll reports, for capture Management accounts

Key communication and relationships


Communication with all Line Manager with regards any HR matters Communication will all staff regarding vacancies, policy changes, HR/staff changes Provide HR / Leave reports for Line Managers as required

Skills, qualifications and experience needed


Grade 12/Matric or equivalent, with any HR/IR related qualifications beneficial Proven work experience in a similar role for at least five years Experience with Sage VIP payroll software would be preferred Excellent Communication skills (verbal and written). Must be fluent in English Knowledge of SA Labour Law would be an advantage Experience in IR related matters would be an advantage Have attention to detail. Accuracy and time management essential Clear credit and employment history. Commitment to the organisation Team Player Adept at handling wide array of varied demands and responsibilities
