Manager to Office of CEO - Cape Town City Centre

A national professional sports organization based in Cape Town is looking for a Manager to the office of the CEO.
To provide comprehensive support to the CEO and President, facilitate/coordinate communications, engage stakeholders, foster partnerships through the office of the CEOs day-to-day operations, and facilitate the efficient and effective functioning of the office of the CEO.

Key Results/ Accountabilities expected from job

  • Provide a strategic and confidential support services to the Chief Executive Officer, President and Deputy President in all aspects and to be the sole point of contact and reporting in office of the CEO.
  • Manage the CEOs office to achieve the best use of the available resources and the time of the CEO including document review, sign-offs and quality control;
  • Engage with all relevant stakeholders to facilitate communications coming from the CEOs office and President;
  • Provide administrative support and assistance to the CEO and to facilitate an efficient operation of the organization;
  • Strategically support with review and preparation of reports and documents before EXCO meetings (e.g. tagging/ highlighting issues/ challenges to provide the CEO with a snapshot view of the report/document and its progress/ findings/ risks);
  • Manage the receipt and distribution of correspondence to the CEO, receive and distribute documents;
  • Manage confidential and sensitive information with discretion and professionalism;
  • Compile and edit various documents, reports, and presentations as per the CEOs request;
  • Submit, prepare, present and obtain necessary sign-offs from the CEO on any SARU documents, business reports, presentations and communicate these to the business and other identified stakeholders;
  • Work in conjunction with all departments to coordinate organizational performance plans, reports and evaluation;
  • Daily efficient diary management of the CEO, and President scheduling of upcoming commitments, analyse meeting requirements and ensure that the meeting objectives are realistic and preparation is appropriate;
  • Keeping the respective diaries up to date with the fixtures (provincial, national, and international) and communicates diary updates with relevant stakeholders;
  • Ensure the provision of accurate and current advice regarding the CEOs functions to all stakeholders.
  • Ensure quality of service is provided to internal & external stakeholders.
  • Organise and efficiently coordinate travel arrangements for the CEO and the Presidency, and at times inclusive of the EXCO members and all relevant stakeholders.
  • Efficient logistics administration - prepare, arrange travel itineraries, visas, travel allowance, claims and ensure that relevant stakeholders are timeously notified of changes.
  • Perform other duties and responsibilities as assigned by the CEO.

  • Experience & Expertise (Typical educational qualifications & experience)
    Educational background
    • 3 years business management/ administration degree (Essential)

    Experience
    • 3 5 years experience in executive support, strategic management, stakeholder engagement, or a related role. (Essential)
    • 3-5 years experience in a sports or similar environment in supporting role (Desirable)
