Digital Marketing Coordinator and Executive Assistant Job Title: Digital Marketing Coordinator and Executive Assistant Location: Woodstock, Cape Town Job Summary: As the leading digital signage solutions company in South Africa, we are looking for someone with a natural flare for communications with exceptional organisational skills to drive the digital marketing division for the Moving Tactics group. Moving Tactics has worked with top brands, retailers, restaurant chains, mobile telecommunication companies and financial institutions, to develop, create and implement digital signage platforms across the continent that facilitate in-store marketing and advertising, corporate communication, and audio applications. As a digital marketing coordinator, we are looking for someone who will oversee the day-to-day execution of digital marketing plans and ensure the brand is consistent and in line with the company’s strategy. The role is multi-faceted with the core focus being on digital marketing and public relations, with a supportive role assisting the HOD of digital signage. The ideal candidate for this position will be confident, efficient, organised and self-driven who is willing to go the extra mile for any job, no matter how big or small. Duties & Responsibilities: Digital Marketing Assisting with the development of a digital marketing plan. Development of the digital persona per brand with the DSS HOD. Reporting on and managing all content development requirements for all digital platforms and newsletters. Aligning all digital marketing channels, including social media. Producing social media content for posting. Producing small informational or staff videos with the Digital Content division to fulfill the digital marketing plan. PR/Website: Assisting with website updates and keeping various teams up to date. Public Relations liaison between PR Company, Website Team, Content Development Team and HOD. Monthly newsletter support. Social media content development. Manage PR calendar and provide support. Liaise with HR on internal content and provide support where necessary. Executive Coordinator: Undertake research and prepare monthly reports, presentations, corporate submissions, and other correspondence for the Head of Digital Signage Solutions (DSS). Compilation of documents and preparation for all relevant meetings. Ensuring all company documentation and CI is up to date and to action various updates to happen proactively. Manage all contracts and administration. Preparation of high-level reports and correspondence – monthly and quarterly. Discuss the work schedule daily to check priorities, ensure that the HOD is aware of appointments for the day and schedule/reschedule according to changes that may occur. Screen calls and emails, respond to enquiries, attend to meeting requests and type responses ensuring that correspondence is dealt with daily. Prioritise correspondence (email, letters, memoranda, and documents) and present to the HOD each day for signature. Coordinate and follow up on certain projects and reports with all the line managers. Resolving company and departmental related queries – externally and internally. Arranging meetings and organising necessary material. Arrange and book venues for meetings (internal and external) and ensure that all parties are informed and make catering and infrastructure arrangements. Collecting and delivering tender documents. Assist with tender compiling and the tendering process. Ensure that the tender documents are completed and are accurate. Attend tender briefing meetings. Liaise with all team members to ensure accuracy and compliance as per client specifications. Provide administration support with tenders / proposals and monitor a timeline. Review final documents for quality control and proofread for accuracy and compliance. Provide continuous feedback to the team and prioritise order of importance of engagements. Keep up to date documentation of all tenders and contracts registered. Assisting with updating company documentation. Good interpersonal skills Team player “Can do” attitude Work well in a highly pressured environment Able to take instruction and action quickly Desired Experience & Qualification: Qualifications/ Experience Matric / Grade 12 At least 3 years’ experience in a corporate or agency environment Experience Digital Marketing and Digital Campaign Management Experience in Canva Presentation tool sets Experience in Corporate Identity Management Experience in preparing Tender documentation and Tender submission process is essential Advanced spreadsheet skills Advanced knowledge of full Google Suite essential Excellent language proficiency in English, both written and spoken Outstanding organizational and time management skills Ability to multitask and prioritise daily workload Knowledge of office management and procedures Own reliable transport essential with a valid drivers license Package & Remuneration: Basic Salary – R20,000.00 per month Company benefits: Moving Tactics offers all permanent employees the following benefits: Hollard’s Life policy and disability cover Alan Gray Retirement Annuity Years of service incentive Personal Training sessions (Mon, Wed & Friday).
