Job Overview:
Our Client is seeking a highly organised and detail-oriented Office Administrator to join their dynamic sales team. The Office Administrator will play a crucial role in ensuring the smooth and efficient operation of their sales office. The ideal candidate will be proactive, adaptable, and able to manage multiple tasks simultaneously.
Responsibilities:
Administrative Support:
- Provide administrative support to the sales team, including scheduling appointments, managing calendars, and coordinating meetings.
- Handle incoming and outgoing correspondence, including emails, phone calls, and faxes.
- Prepare and distribute sales reports, presentations, and other documents as needed.
- Assist with travel arrangements and accommodations for sales representatives if needed.
Office Management:
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Ensure the office is organised and well-maintained at all times, including managing filing systems and keeping common areas tidy.
- Oversee office equipment maintenance and repairs, including printers, copiers, and fax machines.
Data Entry and Record Keeping:
- Accurately enter sales orders and customer information into databases and CRM systems.
- Maintain accurate and up-to-date records of sales transactions, invoices, and payments.
- Assist in the preparation of sales contracts and proposals.
Customer Service:
- Serve as the first point of contact for customers, responding to inquiries and providing information as needed.
- Assist sales representatives in addressing customer concerns and resolving issues in a timely manner.
- Maintain positive relationships with customers to ensure satisfaction and retention.
Requirements:
- Proven experience as an office administrator, office assistant, or relevant administrative role.
- Proficiency in MS Office (MS Excel and MS Word, in particular) and Google Suite.
- Excellent organisational and time management skills, with the ability to prioritise tasks.
- Strong communication and interpersonal skills.
- Attention to detail and accuracy in all work.
- Ability to work effectively both independently and as part of a team.
- Knowledge of basic accounting principles is preferred.
- Matric; additional qualifications in Office Administration or relevant field is a plus.
- Proficient in English and Afrikaans
