A specialised services company, that includes heavy lifting, transport and rigging equipment, is looking for an Operations person in a very fast-paced office.
Duties:
Invoicing Must have Pastel experience
Arrange Medicals & payment, Operator Certificates; Load Test Certificates, and Sling/Shackle Certificates
Vehicle Licences (Renew, Roadworthy and Register)
Quotes
Apply for permit / abnormal permits
Arrange Traffic Escorts
Apply for new Transnet Harbour Discs (TEE, TRT, Target)
Apply for new or update Transnet Access Cards
Organizing Operator/Driver
Keep booking sheets up to date
Ordering slings & shackles
Arranging electricity, Diesel, Sub Hires, and breakdowns with LMS
Attention to detail
Can work under pressure
Quotes and Pro-Formas
Bookings
Email and call queries.
Wright out hire contracts for jobs.
Timesheets
Check clock cards
Keep an updated list of all PPE.
Diesel bouser order numbers.
Workshop order numbers.
Update fleet operation sheet daily.
Customer:
Send confirmation of booking.
Ensure we have order number for job.
Request invoice.
Ensure delivery note and invoice is sent.
Supplier:
Send confirmation of loading details.
Ensure we have order number for job.
Request invoice.
Request delivery note.
Accounts:
Request bank statement and load onto online Pastel.
Allocate the payments to the customer and supplier accounts.
Ensure customer and supplier accounts details are up to date.
Assist customer and supplier with any quarries they have.
Send invoices to customers.
Send monthly statements.
Keep file up to date with orders, invoices, payments, purchase orders and delivery notes.
Update daily movement sheet.
