Our client, a PBO (public benefit organization) based in Wellington is looking for a highly motivated and organized individual to join their team as a Personal Assistant to the Chief Operations Officer.
They are a dynamic and impactful non-governmental organization dedicated to serving families caring for orphaned and vulnerable children with the resources they need to reach their God-given potential.
KEY PERFORMANCE AREAS
Executive Support:
- Manage the COO''''s calendar, scheduling appointments and coordinating meetings.
- Prioritize and handle emails, phone calls, and other communications on behalf of the COO.
- Prepare and organize documents, reports, and presentations for meetings.
Travel Coordination:
- Arrange travel itineraries, accommodation, and transportation for the COO and the Management Team
- Ensure all travel arrangements align with the COO and Management Teams schedule and preferences.
Communication Liaison:
- Act as a liaison between the COO and internal/external stakeholders.
- Draft and edit correspondence, ensuring professionalism and accuracy.
Meeting Preparation:
- Prepare meeting agendas, materials, and briefing documents for the COO.
- Prepare meeting agendas, minutes and meeting packs for EXCO and Board meetings.
- Attend meetings with the COO as required, taking minutes and following up on action items.
Project Management:
- Assist in managing and coordinating special projects as assigned by the COO.
- Keep track of project timelines and deliverables.
Volunteer Coordination:
- Manage foreign and local volunteers, coordinating their travel and accommodation.
- Build and maintain positive relationships with volunteers, fostering a supportive environment.
REQUIREMENTS
- Bachelor''''s degree in a related field preferred.
- Previous experience working in a similar role supporting top-level executives.
- Proven experience as an executive assistant or personal assistant.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication abilities.
- High level of discretion and confidentiality.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office Suite and other relevant software.
- Previous experience working in a similar role supporting top-level executives.
- Personal alignment with the companys values and culture.
- Criminal Clearance must be provided.
