ESAB South Africa, a division of Howden MEA is looking for a Procurement Administrator. The Procurement Administrator will play an administrative support function to the Procurement and Demand Planner. This role will interact and communicate with sales, logistics and warehousing to obtain current, accurate and relevant information. What needs to be done? - Updating of all necessary documents on notification of shipment incl: - Orderbook - Order data consolidation. - Tracking documents - Exchange rate data etc. - POD scanning and filing - Gather information and update Orderbook on continuous basis. - Updating selected workbooks - Checking costing and pricing for invoices from ESAB and Freight Forwarders - Preparing Excel workbooks combining data from various sources - Consolidate order forms from regions and compile indent sheet to order stock. - Data consolidation and basic forecasting. - Expediting pending orders and obtaining regular feedback on their status - Shipping documents and GIT process including landed costings. - Obtaining quotes for non-stock purchasing - Obtaining quotes and understanding incoterms, custom duties on import/export requirements - Verifying potential vendors and understanding of BBEEE, etc. - Follow up on expired BBEEE certificates and affidavits and compile report for head office - At all times adhere to procedures, instructions, quality, safety standards and certification requirements. - Filing on procurement and import/export - SOX compliance: adhere to Sarbanes Oxley and AX Controls. What do you need to bring? - Matric/Grade 12 - Inventory Management / Supply Chain Management qualification. - Intermediate Excel skills (lookup, setting up spreadsheets). - At least 3 years' experience in data administration. - Knowledge of Incoterms - Problem solving and analytical skills. - High level of process compliance. - Good general administrative and organisation skills. - Exceptional attention to detail and accuracy. - Team player and ability to show initiative and a thorough/ methodical approach to their work. - Positive can-do attitude. - Proficient in Excel, Word, Power Point, and Outlook.
