Introduction The Wits Reproductive Health and HIV Institute (Wits RHI) is a renowned African-led research institute that seeks solutions to Africa’s health challenges. It is located within the University of the Witwatersrand and addresses some of the greatest public health concerns affecting our region, including HIV and its related problems, sexual and reproductive health, and vaccinology. Description Main purpose of the job: To centrally purchase office consumables, equipment and assets, obtain quotations and select suitable suppliers in accordance with the relevant policies and procedures, for all sites Location: 7 Esselen Street, Hillbrow - Johannesburg Key performance areas: Liaise with Grants Managers and Programme Managers in terms of procurement requests and ensuring approval is obtained Compile and/or receive purchase order requisitions to purchase goods and/or services and issue purchase order numbers Reconcile WITS RHI accounts Follow up with finance for accrued payment on the PMV system Request for duly authorised purchase orders, supporting documentation and approved invoice Follow-up on suppliers for outstanding invoices and account statements Liaise with initiators of procurement, operations department other relevant stakeholders to advise on expected delivery dates of items procured Ensure service is rendered and we have confirmed pod’s Check that all documents are accurate and correct i.e. purchase orders, quotations, invoices, delivery notes, etc. Provide feedback to stakeholders on consumables ordered/received and ensure relevant documentation is completed Timeous and accurate completion of the procure to pay system Updating of Procurement tracker on a daily basis Copy and file relevant documentation and correspondence Driving of company vehicle for purchases, collections and banking Tracking of procurement packs to operations and admin to close off procurement process Source suppliers according to the organisation’s criteria and standards Obtain relevant information and documentation from suppliers Develop and maintain a preferred suppliers list or database Source suppliers according to the organisation’s criteria and standards Obtain relevant information and documentation from suppliers Develop and maintain a preferred suppliers list or database Negotiate discounts on volume based orders and payment terms Advise suppliers of the Wits RHI payment terms and conditions Maintain sound working relationship with suppliers Liaise with relevant stakeholders regarding repairs and maintenance Quality assure all documentation for Wits RHI, WHC and donor compliance Assist in the preparation of relevant site audits and queries Attend relevant trainings sessions as presented from time to time Stay abreast with current policies and procedures Required minimum education and training: Diploma in Supply Chain Management, Business Administration or Equivalent Required minimum work experience: Minimum 3 years’ experience in Procurement/Purchasing Desirable additional education, work experience and personal abilities: Certification in Business Administration or basic Accounting Experience working in a donor funded or NGO environment and experience in a project-based environment Exceptional organisation and administrative skills together with working knowledge of Microsoft Office Assertive, confident and adaptable Pro-active, energetic and able to exercise discretion and independent decision-making Able to prioritise own work load and work to deadlines Self-motivated, able to work independently and work as part of a multidisciplinary team TO APPLY: Only if you do meet the minimum job requirements and experience as mentioned above, you may submit a detailed updated CV.
