Job Description

You will be responsible for the following key functions:

Calendar Management:

  • Schedule and coordinate meetings, appointments, and travel arrangements for executives.
  • Manage and maintain executives calendars, ensuring accuracy and timeliness of all appointments.

Administrative Support:

  • Handle correspondence, emails, and phone calls on behalf of executives.
  • Prepare and edit documents, presentations, and reports as required.
  • Organize and maintain files, records, and confidential information.

Communication Liaison:

  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Screen and prioritize incoming communications, redirecting as necessary.

Meeting Coordination:

  • Prepare meeting agendas, take minutes, and distribute meeting materials as required.
  • Coordinate logistics for meetings, including room bookings, catering, and audiovisual equipment setup.

Travel Arrangements:

  • Make travel arrangements, including flights, accommodations, and transportation, for executives and accompanying staff.
  • Prepare travel itineraries and ensure all arrangements are made in accordance with company policies and preferences.

Expense Management:

  • Process expense reports and reimbursements for executives in a timely manner.
  • Maintain accurate records of expenses and reconcile credit card statements.
Skills
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • Strong communication skills, both written and verbal. Discretion and confidentiality in handling sensitive information
  • Proficiency in Microsoft Office Suite and other relevant software applications
  • Attention to detail and accuracy in all work tasks
  • Ability to work independently with minimal supervision
  • Flexibility and adaptability to changing priorities and deadlines
  • Business management and legal experience will be advantageous
