Key purpose of the role As the first point of contact for our company, the receptionist ensures that guests are welcomed positively. Coordinates all front-desk activities, including redirecting phone calls and executes all administrative tasks to the highest quality standards. Key outputs/accountability Answer calls in a pleasant and professional manner Answer, screen, and forward incoming phone calls Provide basic and accurate information in-person and via phone/email Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook) Display qualities conducive to creating a positive atmosphere at reception at all times Attend to guests and ensure they feel welcomed Confirm with ‘person being visited’ that they are expecting a visitor – and confirm that they are ready to receive the guest Assist hostesses with escorting guests/visitors, when necessary Ensure the smooth flow of visitors in and out of the building Be proactive in assisting with and maintaining a clean/neat, welcoming, respectable, efficient environment Assist contractors with access to the building and update facilities and other departments accordingly Receive parcels (both incoming and outgoing) and accurately record details such as receiver, end-recipient, sender, date, time, and condition Hand over parcels to hostesses/guests, confirming that parcels are in good order and correctly recorded on the relevant tracking tool for the hostesses to deliver Hand over after-hours deliveries to security desk Liaise with frontline security on an ongoing basis and be vigilant regarding security Assist with general office duties within the facilities department when requested to do so Make accurate boardroom bookings and ensure organizers receive relevant confirmations Educational qualifications Minimum matric Required knowledge and experience Computer literate: Microsoft Office and internet skills Call-centre, customer service, hospitality industry or receptionist – previous experience in at least one of the aforementioned is a prerequisite Previous experience with switchboard operations Office management/tasks experience would be preferred Required skills Excellent telephone and face-to-face interpersonal skills Ability to be proactive and use initiative in solving problems Ability to recognise risks to security and act accordingly Ability to conduct oneself in a professional manner and project a professional frontline image for the company Ability to work effectively in a team Excellent organisational skills Multitasking and time-management skills, with the ability to prioritise tasks Attributes Tolerance and patience Friendly and approachable Able to interact with a variety of people Reliable Good communicator Suitable candidates will be selected in accordance with Primedia Broadcasting’s Employment Equity Policy.
