Position Overview: The Receptionist for the aviation industry in Cape Town will be the face of our organization, responsible for delivering exceptional customer service and ensuring smooth operations at the front desk. This role requires a dynamic individual with excellent interpersonal skills, attention to detail, and the ability to handle various administrative tasks efficiently. The Receptionist will serve as the first point of contact for clients, visitors, and employees, creating a positive and welcoming atmosphere. Key Responsibilities: Front Desk Management: Greet clients, visitors, and employees in a friendly and professional manner. Answer incoming calls, direct calls to appropriate personnel, and take messages as needed. Manage inquiries via email or phone and provide accurate information or route inquiries to the relevant department. Maintain cleanliness and organization of the reception area. Customer Service: Provide exceptional customer service by addressing client inquiries and concerns promptly and effectively. Assist clients with scheduling appointments, booking services, or arranging meetings. Handle client complaints or issues with tact and diplomacy, striving for satisfactory resolutions. Administrative Support: Perform various administrative tasks such as data entry, filing, photocopying, and scanning documents. Assist with the coordination of meetings, conferences, and other events. Manage office supplies inventory and place orders as needed. Assist with additional administrative duties as assigned by management. Security and Access Control: Monitor access to the premises, ensuring only authorized personnel enter the facility. Issue visitor badges and maintain visitor logs for security purposes. Collaborate with security personnel to address any security concerns or incidents. Communication: Communicate effectively with internal teams to relay important messages or updates. Notify relevant personnel of any urgent matters or arrivals of important guests. Assist with the distribution of internal communications or announcements. Requirements: Proven experience as a Receptionist or in a similar customer-facing role, preferably in the aviation or hospitality industry. Excellent verbal and written communication skills in English. Proficiency in additional languages is a plus. Strong interpersonal skills with the ability to interact professionally with clients, visitors, and employees. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment. Exceptional organizational skills with the ability to multitask and prioritize tasks effectively. Attention to detail and accuracy in all tasks, including data entry and administrative duties. Ability to remain calm under pressure and handle challenging situations with professionalism. Flexibility to work shifts, including weekends and holidays, as needed. Preferred Qualifications: Diploma or certification in Hospitality, Business Administration, or a related field. Previous experience in the aviation industry or a client-facing role within a similar environment will be advantagous Job Type: Full-time Salary: R12 000,00 - R15 000,00 per month Apply Now
