Sales Support Administrator Description The Sales Support Administrator working in larger operational environments. This role acts as a key support function to the sales team and assists members of the sales force by performing components of sales order related administration, e.g., quote to cash process. Processes quotes or orders for materials or merchandise from sales staff or direct customer contact. Maintains customer files, digitally in systems, with sales contracts and other relevant information. Provides price quotations, completes order sheets and checks the price and quantity of each item listed aligned to client's requests. May coordinate with departments regarding order status, shipping dates, prices, product availability and back orders. Key Roles and Responsibilities: Contribute to operational sales effectiveness by establishing relationships with vendors and coordinating everyday interactions, queries and general information sharing with them. Provide quotes for clients either from direct requests or on behalf of the Sales team. Influence the price and margin, by suggesting different products dependant on lead times, promotions, alternative suppliers and programmes. May be required to administer aspects of the purchase order process by generating, distributing, and administrating purchase orders. Check quotes against raised purchase orders to ensure that what has been ordered has been quoted and that the correct terms and conditions have been applied. Assist with obtaining information on the most current vendor pricing at quote stage and ordering stages. Administer general sales related documentation through receiving, labelling, sorting, filing and distributing as is required. Capture data and maintain systems as is required by the sales process and sales team. Provide basic / routine administrative support to the sales force. Use the systems and data to produce reports when necessary May be required to identify and recommend improvements to sales administration processes. Sales Administration (Quoting) Day to day duties include providing quotes for clients either from direct client requests or on behalf of the Sales team. Product pricing where the Sales Administrator sometimes has the ability to influence the price and margin, by suggesting different products, dependant on lead times, promotions, alternative suppliers and programmes. Once the order is raised they will check the quotes to ensure that what has to be ordered and that the correct terms and conditions have been applied. Ability to manage vendor pricing Knowledge of systems to be used for quoting Knowledge of client requirements for quoting Specific detail to Vendor Deal registrations (to help maximize revenue/margin), Quote construct & quality assurance, quote queries & end-end quote management. Sales Support (Order Processing) When orders are received, process and administer the client purchase orders timeously. Administer general sales related documentation through processing of purchase orders, and distributing as required. Accurate capture of all necessary Sales Order information into Dimension Data systems Close collaboration with internal stakeholders to ensure order fulfilment. Knowledge of systems to be used for processing of Purchase Orders Knowledge of client requirements for purchase orders Specific detail to Order processing, Order management (end-end), Order queries. Required Experience: Experience with industry leading quoting and ERP systems would be an advantage Previous administration experience, particularly "quote to cash" processes. Apply Now
