Well known legal firm based in the City Bowl in Cape Town is looking for an experienced Legal Secretary. Would need to have a relevant quaification and 5 years experience as a Legal Secretary in a Legal Firm (medium to large firm). MUST have own transport. Doing dictaphone typing, handling confidential information etc, have excellent communication skills (verbal & written), have strong attention to detail and accuracy, with advanced MS Word and Outlook experience as well as intermediate Excel and Powerpoint experience. Will be typing documents and agreements, diary management, dictaphone typing, and a general admin and PA support at a senior level. Relevant Qual 5yrs Legal Secretary in Law firm Execute a variety of secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time managements and organisational skills coupled with the ability to be detail oriented. Maintain Partner(s) and/or Professionals' diary including the coordinating and liaising with relevant parties with regards to meetings and to prepare all documentation for appointments and travel Filing, organising, and maintaining documents Opening and closing of legal files in accordance with the firm's policies and procedures Organise and maintain legal files in accordance with the firm's policies and procedures Assist in handling legal administration requirements Assist in the preparation and processing of legal documents Print all correspondence, pleadings and documents and file same in physical/ hard copy files Ensure documents dispatched are accurate Liaise with messenger/ driver General office administration and management Dictation typing Follow up with clients regarding payments and keep a log of all client contact. Compile and submit weekly outstanding reports (payments from client and report to accounts department once a week) Ensure compliance with FICA Complete time sheets and capture time on CMS/Adarant Keeping track of attorney time records and billing Monthly invoicing in accordance with Firm's policies and procedures. Grade 12 (Matric) Paralegal / Legal Secretarial qualification preferable Minimum of 5 years' experience as a legal secretary within a law firm Own transport (and car licence) Skills (Know-How Job Related Skills Required to Completed Activities): Knowledge of CMS / Adarant preferable Knowledge of Microsoft Office Suite Knowledge of Billback Knowledge of basic numeracy and literacy skills Knowledge of administrative and clerical procedures and systems Knowledge of FICA Behaviours (Interpersonal Skills Required to Complete Activities): Communicate effectively both verbally and written Demonstrate the ability to anticipate and plan Demonstrate client focus Constructive teamwork Work with speed and acc uracy Honesty, reliability, and punctuality Ability to take initiative Be able to work under pressure, and occasionally after hours Well organised and conscientious Market related Apply Now
