The primary purpose of this PA/secretary position is to manage the office of the Dean, Faculty of Education in a professional manner by: Rendering comprehensive and effective secretarial services through managing the dean's diary, receiving visitors/students and channelling them to appropriate offices, Directing telephone calls to appropriate staff and screening mail and channelling it to appropriate staff, Rendering administrative support, facilitating orders and monitoring stationery and service of equipment, and ensuring up-to-date record keeping, Performing any other tasks as directed by the Dean of the Faculty. MINIMUM REQUIREMENTS Minimum Diploma in Secretarial/Office Administration or equivalent. Minimum of 3 to 5 years' experience in a secretarial position, preferably in a higher education environment. ADDED ADVANTAGE Additional computer literacy qualification will be an added advantage. ITS experience would be a distinct advantage. KEY ACTIVITIES Managing the secretarial activities of the office of the Dean Ensure that all documentation leaving the office of the Dean have undergone high level of scrutiny, prior to being dispatched to various sections. Effective control and filing of all reports relevant to the office of the Dean as well as proper filing of all electronic and hard copy documentation. Arrange and monitor meetings, workshops, and conferences, taking, writing and filing of minutes for meetings in the office of the Dean, Maintain the Diary of the Dean of the Faculty. Manage all human resource benefit functions and activities such as leave, overtime payment etc. of all staff reporting to the Dean of the Faculty. Provide administrative support Maintain filing system in the office (Ensure all records are kept up to date in files). Deal with faxing, filing and photocopying. Scan documents and emails as required. Ensure necessary stationery and toner for printers and fax machine is readily available. (Control stock to minimize time wastage when stationery is required) Any other task directly or incidental to the post As directed by the Dean of the Faculty (Ensure smooth and continuous functioning of the activities in the Dean Office) COMPETENCIES: Skills Computer literacy (MS Office Suite) specifically MS word, Excel, Outlook Ability to work without or limited supervision.
