We are recruiting for a Senior Broker Admin Assistant for our client within the Financial Services Industry based in Waterfall, Midrand. Candidates must live close by. Roles & Responsibilities Your role as a Personal Assistant is broken up into the following areas: The role of Diary Management New Business Servicing CRM (Customer Relationship Management) Managing the Vitality process of your Broker's clients Marketing Campaigns, driving new business generation The role of Diary Management You will oversee the telesales department booking the appointments for your broker. Number of appointments booked for the month Acceptances received, and how many are outstanding If a client is seen, broker feedback re the caliber of client and the potential to go back for business If the Broker will be able to do business and have a second appointment booked, this needs to be updated on the tracker spreadsheet and booked with the client Discuss whether the type of clients being booked are as per the Brokers specifications and in the requested areas Fill the broker's diary with referrals that he generates Drive the broker's referral database New Business Every appointment that has been booked by the tele sales consultant must be confirmed by you over the phone on the morning of the appointment and feedback must be provided to your broker. Ensure that the appointments tracker is updated with this feedback. Second appointments result in business and as such, a strong focus on the booking of these appointments. When a broker returns from an appointment where they have identified a business opportunity, a second appointment must immediately be booked for 3-4 days later. Obtain 5 referrals from your brokers per week from clients they have recently done business with. Processing of New Business: No case is to be captured without a full pack of compliance being fully completed, should this happen it will result in an immediate written warning as it is in contravention with the FAIS Act. Your client must be created on the CRM system and a new business query opened. All client documents and compliance are to be attached prior to sending the application through to DCS. Application forms must be checked in detail prior to scanning and e-mailing them to DCS. A checklist, signed by both the broker and you, must accompany every application. Upon receiving medical requirements, you must send your medical requirements e-mail through to the client and cc your broker. It is your responsibility to check the DCS tracking daily and assist by providing DCS and your brokers with their relevant feedback. Acceptance letters must be checked to ensure date of commencement, spelling, premium, etc. are correct before they are sent out. Upon receiving an acceptance letter, you must send your acceptance e-mail to your client and cc your broker. COL's are to be e-mailed to your brokers for them to liaise directly with the client. Reasons for COL's will be sent by DCS and the brokers must be made aware of the reasons. Should you have any information and/or documents outstanding please be proactive and contact the clients on the brokers' behalf; this speed things up and alleviates a lot of the administrative burden from them. Servicing All servicing queries are to be logged on the CRM system Liaise directly with the clients for information required Credit Control forms part of servicing and it is required that you monitor/track your brokers clients that appear on the credit control reports, this can be done via Discovery's website or the spreadsheets sent from DCS. It is expected that you work closely with your brokers to ensure premiums are paid to date and clients do not lapse their policies. CRM (Customer Relationship Management) Every client needs to be correctly captured onto the CRM system Existing clients need to be checked and info needs to be updated Take 5 files a day for each broker and update the client's details on the CRM system. If need be call them to confirm information that might be missing. Ensure we have the correct e-mail addresses to enable us to send communications through to all clients. Managing the Vitality process of your Brokers clients & Booking a Wellness Centre App. Vitality is the most crucial element to what we sell to clients; we need to make sure that all our clients get to GOLD Vitality status every year. Once a policy has been accepted and your acceptance e-mail has been sent off, you must follow it with a Vitality e-mail (using the template provided) Diarize to follow up with the client a week later should you not have already received confirmation on a Wellness Centre booking date. Contact 5 clients per broker per day to arrange their wellness center booking for the year Should a client not want to attend the Discovery Wellness Centre, send them an e-mail with all relevant details as to where and how they go about doing it themselves (use the template provided). Marketing Campaigns The company continually runs marketing campaigns in the focus of driving new business can continued client service and support. We will run quarterly marketing campaigns and these needs to be driven by yourself to ensure a successful roll out. Requirements these are minimum requirements unless otherwise specified.
