The Site Controller will successfully and ensure an effective operational and administrative efficiency ratio. Ensure, further, that operational expenses are maintained within budgeted parameters for our client's operations in Cape Town, Western Cape for a 2-month period. ROLE AND RESPONSIBILITIES Operational • Ensure that all Standard Operating Procedures are known, understood, documented, in place, managed, maintained, and enforced. • Understand and know how to make use of the various systems in the business • Keep all filing and administration up to date • Monitor the processes of scanning, manifesting, and authorising of various In-house documents and dispatching of freight • Ensure the effective utilisation and optimisation of vehicles • Ensure vehicles are planned and ordered according to specific requirements and communicated to relevant parties • Ensure all freight is correctly processed • Rectify any discrepancies from the receiving branch within the allocated time frame • Order stationery timeously and ensure adequate quantities are ordered • Report any variances in the DOT and TAT • Keep an awareness of operational difficulties and advise all parties accordingly • Ensure quality reports conform to the requirements of the customer • Evaluate and follow up on service levels • Liaise with various departments • Ensure KPI's are of the correct criteria • Inform the customer immediately if there are any delivery delays • Handle and document all queries and customer complaints • Monitor and compile daily and monthly reports • Act on all non-deliveries regarding NDD's and ensure out on delivery • Manage and control RLOG returns and collections and ensure quality proof of delivery returned to RLOG • Manage the POD process, report daily and consolidate at month end • Ensure accurate record keeping and maintain easy access to historical data • Report any shortages or damages to the branches daily • Open a handover register and ensure the driver signs for each POD • Ensure customer satisfaction both internally and externally • Liaise with the outbound department to source sufficient resources Staff Management: • Manage leave, time, and attendance of all staff • Drive skills development of staff through training and other initiatives as regularly as required and keep signed records on file • Identify problem areas and initiate IR and HR processes as required • Ensure that all HR and payroll records are in place and maintained (job profiles, competencies,appraisals, wages etc) • Ensure that all staff are well managed to improve productivity, reduce overtime and ensure that staff are motivated and productive. Quality, Health, and Safety: • Ensure that customer KPI's are known, understood, measured, managed, maintained and reported on monthly • Ensure continuous improvement receives focus and is implemented • Ensure proactive actions are taken within the operation • Ensure standards of Health and Safety are maintained and that the requirements of the Occupational Health and Safety Act are conformed to • Ensure that all monthly checks are carried out as required • Ensure dress code is followed in accordance with company Standard Operating Procedures • Maintain housekeeping standards daily COMPETENCIES MINIMUM REQUIREMENTS • Matric • Degree/diploma in supply chain/logistics field beneficial • 3 years relevant experience within the logistics environment • Leadership/managerial skills • Administrative capabilities • Computer skills • Ability to identify and solve discrepancies in terms of stock condition and quantity • Good communication skills • Planning skills KNOWLEDGE • Working knowledge of In-house procedures and practices • Standard Operating Procedures pertaining to the In-house operation • Knowledge of the documentation used in the operation • Customer requirements including cut off times and KPI's • General knowledge of Code of Conduct and HR policies • Internal and external services pertaining to the operation • Occupational Health and Safety Act 1993 and the requirements thereof • ISO 9001 Site, Controller, Logistics, Cape, Town, Apply Now
