JOB TITLE: Utilities Administrator

MANAGER: Utilities Portfolio Manager

LOCATION: Johannesburg

ROLE OVERVIEW:

The Utilities Administrator reports into the Utilities Portfolio Manager and is expected to complete monthly administrative processes.

This person will be a central part of the team, ensuring all utility related documentation from clients, Projects and other Terra Firma Solutions teams is kept up to date within the utility team. This is to ensure that all monthly reporting can run within client SLA’s.

The main duty of the Utilities Administrator would be to process reports each month and ensure that all preparations are done so that the client receives reports on time and of the highest standard. Any issues preventing reporting from running needs to be communicated to relevant personnel.

QUALIFICATIONS:

  • Matric (Grade 12)

PREFERRED SKILLS:

  • Office 365
  • Excel
  • Administrative skills
  • Communication Skills
  • Experience in Utility billing and Municipal By-laws/Tariffs
  • Have used AMR systems

EXPERIENCE REQUIRED:

  • Minimum 1 years working experience in utilities management
  • Good understanding of electricity and water tariffs and by-laws in South Africa (Desirable)

DUTIES AND RESPONSIBILITIES:

  • Copper and Aqua Management
    • Data integrity checks & Data spike removal
    • Maintaining tenant and meter changes
  • Processing of Utility reports
    • Obtain tenant, meter and premises schedules
    • Engaging with client should there be missing information
    • Ensure manual meter readings are taken on set dates
  • Monthly Reporting
    • Run monthly reports for utility clients
    • Quality Control of reports
    • Ensure on-time delivery of reports
  • Municipal Management
    • Assist with municipal queries as needed
  • Ad-hoc reporting
    • General Tenant/Client queries
    • Tenant account reconciliations
    • Additional Ad-hoc administration requested from Portfolio Manager
  • Proactive signaling correct department to resolve reporting or technical issues
  • Documentation
    • Collecting documentation from clients
    • Collating documents in a format usable by the team
    • Capturing documentation generated by Project Technicians
    • Compiling documentation for Projects teams
