MAIN PURPOSE OF POSITIONTo provide general administrative support to the departmentso as to ensure that service delivery is optimised.Provide administrative support to the departmentand relevant facultyProvide advice / support (i.e. telephonic, email ,etc.) to walk in clients as requiredProcess applications, pre-requisite verification and quotations as requestedCapture accepted quotations, JDE account information, purchase orders, proof of payment information, track registration progress, etc. on the Operational DatabaseGenerate sales / purchase orders , proforma invoices and process GRVs for clients Compile monthly accrual lists as is required by the departmentProcure quotes for external trainers and provide registers per course for internal and external trainersRender ad hoc administrative support (i.e. attending and managing exhibition stands at events, report compilation, etc.)as required by Training Centre managementCo-ordinate and providelogistical support for training activities within the departmentand relevant facultyPrepare and arrange venues for meetings and training initiativesCoordinate, compile and ensure that all documents and training materials for meetings, training initiatives, etc.are at the various venues as per agreed timelines.Ensure all catering logistics for training initiatives, meetings, etc. are implemented as per agreed timelines Co-ordinate cleaners to keep catering areas clean and tidyMaintain and update the training records filing management systemManage, maintain, scan and store all relevant training information as required by the Department i.e. registers, certificates, client communication, emails, quotations, purchase orders, feedback forms, etc.Administer, maintain and update the Faculty Database and backup database with all required informationCapture leaner results, generate certificate print requests and courier certificates ( where applicable)Compile and maintain training databases as is relevant for the DepartmentEnsure that all documentation as it relates to meetings and training initiatives are updated and sent to the relevant stakeholders as and when it is requiredAdherence to service standards and deliver excellent customer serviceEnsure efficient communication of all client requested training needs to the General ManagerProvide good customer service by meeting the client requirements Handle queries and resolve problems as they relate to departmental projects / registrationsFollow up on customer queries, complaints etc. where necessaryEnsure clients are updated with relevant training information as requiredOptimise own performance within the teamParticipate as a productive team member by managing own performance in order to meet departmental objectivesGather facts and information objectively with accuracy and attention to detailMake logical decisions and use sound judgment in relation to tracking projects, tasks, assignments and reportsPlan, organize and coordinate relevant work functions as they relate to the departmentWork independently with minimal supervision, set reasonable priorities and manage time and deadline driven workloadContribute to diversity management initiatives and actively build business relationships Matric plus Diploma in office administration or related field1year relevant administration experienceExposure within a training environment is advantageousCustomer liaison / Sales service experienceis essentialRelevant IT proficiency (MS Office Suite including Access, Internet and other related programmes)...apply now!
