Our Industrial Battery Client is currently seeking an Admin Assistant to be based in Bellville, CPT Purpose To perform a variety of administrative and clerical tasks at the branch. Providing support to our managers and employees, assisting in daily office needs and managing general administrative activities. Salary: Between R10 000 and R12 000pm ( depending one experience) Knowledge, skills & abilities Matric Additional relevant tertiary qualification will be a plus 3 – 5 Years proven experience as an administrative assistant/office administrator Working knowledge of office equipment, like printers Proficiency in MS Office Administration Filing and scanning Assist with creditors – getting missing invoices from suppliers, getting invoices signed, scanned and emailed to Head Office. Processing on Xact. Assist with debtors by addressing, investigating and sorting out any queries. Liaising with debtor's clerk at Head Office. Getting documents ready to send to Head office on a weekly basis. Credit note spreadsheet update on a daily/weekly basis. Stationery ordering/controlling. Assist with cash-up by scanning and emailing the banking, from previous day, to Head Office. Confirm EFT and cheque payments from customers with Head Office before the release of goods. Control petty cash disbursements and retain receipts and Reconcile petty cash. Send through petty cash claim forms and supporting documents to Head Office. Send through business expense reimbursement forms and supporting docs to Head Office. Ensure slips are attached and agree to the amount being claimed. Ensure Regional manager has authorized claim. Ensure supplier delivery notes and GRV's are sent to Head Office. POD control and processing. Ensure outstanding POD's are followed up. Ensure copy of sales invoices are filed sequentially. Ensure POD's are returned and captured. Ensure POD's are attached to the copy tax invoice and filed together. Check with Head Office regarding the shredding of old documents and ensure archives are neat. Assist Regional Manager with month end tasks: outstanding sales orders, outstanding purchase orders, IBT's not sent or received. Escalate any queries with regards to the above to the Regional Manager. Order and distribute sundry branch expenses. Regional Manager to approve. Answering of phones and reception of customers/guests. Processing of credit notes. Manage credit applications. Assist with quotes.
