Administration Assistant - Grahamstown

Responsibilities:
  • Assist with loading invoices and maintaining accurate records.
  • Manage stock levels and assist store men with receiving, checking, and packing deliveries.
  • Coordinate and prepare deliveries to lodges, ensuring accuracy and timeliness.
  • Monitor and manage expiry dates of all stock items.
  • Conduct weekly visits to lodges and villas to inspect housekeeping, food, bar, and equipment stock.
  • Perform stock takes and ensure accurate loading of figures into the system.
  • Compare prices from suppliers and maintain supplier relationships.
  • Maintain equipment lists from villas and lodges and update shortage lists for managers.
  • Utilize Sage stock system effectively for inventory management.
  • Assist with administrative tasks related to food and beverage and stock-taking systems.
Requirements:
  • Computer literate and proficient in Microsoft Excel, Word, and Email.
  • Clear and effective communication skills with suppliers, managers, and colleagues.
  • Ability to work collaboratively in a team environment.
  • Experience working with Sage stock system is essential.
  • Physically fit and able to work in cold storage environments (fridges and freezers).
  • Good knowledge of administration, particularly in food and beverage and stock-taking systems.
  • Valid driver's license (Code 8/10) is compulsory.
  • Matric or Grade 12 certificate preferred.
  • Minimum of 3 years of hospitality service experience in reputable establishments.
  • Valid PDP (Public Driver's Permit) would be advantageous.
