PURPOSE OF THE POST To render administrative support within the chief directorate/ programme DESCRIPTION OF TASKS No Key result areas Activities Result indicators 1 Coordination of budget and administration Facilitate inputs and finalization of annual budgets and monthly expenditure projections Process transfer payments to implementing agencies. Monitoring of monthly expenditure patterns and trends to budget projections. Interact with budget coordinators to manage expenditure / cash flow reports. Annual budget finalized as per Treasury regulations Transfer payment processed to implementing agencies. Updated monthly expenditure report. Expenditure/ cash flow reports received and interaction conducted when necessary. 2 Administration and strategic support Coordinate and monitor the implementation of business plans of the Programme Coordinating inputs and alignment of APP targets, updating of risk register. Coordinate inputs and consolidate monthly, quarterly & annual reports. Maintain database of evidence reports and verify for reporting purposes Drafting and editing of submissions (reports, letters, memos, responses, presentations etc.) Manage flow of documents. Business plans coordinated and implemented accordingly. Inputs compiled and risk register updated. Monthly, quarterly & annual reports inputs coordinated and consolidated. Evidence reports and verification conducted. Document drafted and submitted. Flow of document managed. 3 Document’s quality Assurance Prepare logistical arrangements and required documentation for the meetings. Quality Assure all documents submitted to the Office of the DDG Logistical arrangements of the meeting conducted and documentation distributed. Percentage of documents approved 4 Stakeholder engagement Monitor that protocol is correctly observed when dealing with other government, private sector organisations and international counterparts Ensure that information is provided to the relevant stakeholder when the need arise. Protocol requirements are adhered to. Stakeholder provided with relevant information. 5 Projects Management Develop Plans for projects allocated to the DDG’s office Manage all projects allocated to DDG’s office Monitor the deliverables and budget expenditure of the projects within the Office of the DDG. Prepare project reports to the Branch meetings 6 Records Management Keeping records and ensure that they are easily accessible within the chief directorate. Maintain filing system within chief directorate Updated records keeping Easily accessible records and filling system maintained (electronically and manually). COMPETENCY REQUIREMENTS Knowledge Knowledge of government policies and procedures Knowledge of PFMA and National Treasury regulations Knowledge of Programme Administration Knowledge of strategic planning, budgeting and monitoring and evaluation Skills Budget Coordination Administrative Coordination Events Management Computer Literacy (Word, Excel, Internet, PowerPoint) Project Management Financial Management Professional Communication Monitoring and Evaluation Personal attributes Ability to work individually and as part of a team Diligent Proactive Achiever Analytical thinking Interpersonal Skills Ability to work under pressure Experience 2 years working experience within administration as a programme coordinator. LEARNING INDICATORS/QUALIFICATIONS A tertiary qualification at NQF level 6 in Public Administration/ any other related. Apply Now
