Capital Equipment Administrator - Edenvale

Duties & Responsibilities

EQUIPMENT REPAIR/SERVICE (PRIMARY DUTIES)

1. Processes all service/repair quotations.

2. Generates all service/repair invoices.

3. Maintains Goldmine with respect to all servicing and repairs.

4. Maintains Equipment Parts Pricing and Costing files and updates are done where necessary.

5. Update servicing reports for Nuts & Bolts

6. Preparing the monthly servicing quotation reports

7. Managing outstanding orders in reference to Job cards & invoicing to customers and ensuring the relevant sales rep is included with communications.

8. Issuing of installation/commissioning/servicing certificates to customers

9. Captures and reconciles the Medical Master invoices (matching of job-cards/quotes/invoices)

10. Costing of SLAs and completion of SLA agreements

11. Keep record of all active SLA and ensure that these are captured timeously on Macola.

12. Bi-monthly review of spares Re-Orders Reports with PMs/MM to ensure adequate stock on hand.

13. Places all orders for Equipment Parts with Procurement & Logistics Supervisor

14. Completion of New Product forms for all new spares stock required.

15. Completion of all tender documentation for CE & Service/Repairs (manages the entire Tender Process)

16. Compile a monthly tender report and submit to the team.

17. Managing the Office Administrator to ensure all service and repair quotes are completed timeously and all other admin tasks are conducted effectively & efficiently.

18. Function as a 2nd check in the absence of the 2nd CE Warehouse staff.

19. Assisting with the reconciliation of the daily/annual stock counts of spares/demo

20. Issuing of any demo/loan equipment requested and ensuring loan forms are completed and returned for filing purposes.

21. Review the demo/loan file bi-monthly to ensure that paperwork remains in order, especially on extended demos/loans.

22. Ensures that Equipment is cleaned by warehouse after each demo and before it is sent out on next demo.

23. Responsible for ensuring that the demo room is well maintained

CAPITAL EQUIPMENT (SUPPORT FUNCTION)

1. Process all Capital Equipment quotations and forward to Customers.

2. Responsible for linking of all quotes within Goldmine.

3. Maintains Capital Equipment Pricing and Costing files and updates are done where necessary.

4. Makes sure that the comapny has adequate stock of Capital Equipment literature, brochures etc.

5. Places all orders for Capital Equipment with Procurement Supervisor

6. Follows up on outstanding Capital Equipment orders and communicate this to the relevant Sales Reps

7. Manage large amounts of incoming phone calls/emails requests.

8. Controls Inventory of Capital Equipment

9. Process all orders received from Customers on Macola

HEALTH & SAFETY & QUALITY STANDARDS (PRIMARY RESPONSIBILITY)

1. Assist in maintain the Health & Safety principles of the organization.

2. Work within the Company's Quality Management System

3. Ensure that the appropriate QMS documentation is always used, and that document version controlled and maintained.

4. Documentation of NCAs and ARs where relevant

5. Best Practices Improve processes and policies in support of organisational goals. Formulate and implement departmental policies and procedures to maximise output. Monitor adherence to procedures.

6. Administrative excellence

GENERAL RESPONSIBILITIES
1. Filing, Archiving, communication

2. Compiling and updating Monthly Reports for Capital Equipment

3. Support and assist Capital Equipment Team and other supporting functions.

Desired Experience & Qualification

EXPERIENCE AND PERSONAL QUALITIES

Min of Matric

3 - 5 years' experience in related field

Computer Literacy:

  • Excel,
  • Word and Outlook,
  • One Drive,
  • MS Teams

Skills:

  • Effective Time Management and Record keeping;
  • Methodical;
  • Able to work under pressure;
  • Good communication and interpersonal skills with superiors, colleagues, and suppliers;
  • Atentive to detail, and ability to multi-task and to be able to use own initiative.
Package & Remuneration

R 30K to R35K CTC

7.5% towards Pension Fund (Compulsory)

50% Medical Aid (Optional)

18 Days Annual Leave

Company shutsdown over Dec/Jan
