To oversee the daily operations in a clinic, ensuring everything runs smoothly and efficiently. Address issues and concerns, resolving them promptly and efficiently. Accountabilities: Client service delivery and quality - Follow procedures and cooperate with peers and leader for best possible service delivery Compliance and Risk Management - Defined legal, statutory and regulatory compliance is maintained at the required standards - Operational risk and governance structures, measures and frameworks are complied with and necessary action is taken to address issues, when necessary Financial Management - Contribute to cost savings within the department to assist with financial goals and targets Operating Model - Meet delivery objectives through working with other team members within and linked to the department / project - Resolve operational performance variations and problems and escalate unresolved issues to higher levels - Ensure delivery targets/objectives are met and operate in a supportive manner to achieve successful delivery - Provide documentation and administrative support to stakeholders within the Service Level Agreements and Turn Around Times - Manage all data requests are registered, logged, updated and sourced (as per requirements) Operational Implementation of Strategy - Keep up to date with operational changes implemented in response to important external influences - Deliver in a manner that supports and meets operational quality standards and meets the defined departmental priorities - Perform according to defined operational best practice and identify and implement opportunities for continuous delivery improvement Operational Leadership - Deliver personal performance within Human Capital frameworks and policies to ensure delivery to agreed standards and objectives - Engage in development, coaching and mentoring - Support transformation through valuing diversity - Behave in alignment with the Afrocentric values Stakeholder Management - Ensure appropriate, active and informative relationships with customers and relevant stakeholders are successfully achieved - Address customer or stakeholder complaints in alignment with the policies and procedures and ensuring customer / stakeholder buy-in - Resolve relevant queries and complete query administration within Service Level Agreements, defined Turn Around Times and standards Generic Objectives Specific deliverables: Operating Model: -Provide documentation and administrative support to stakeholders within the Service Level Agreements and Turn Around Times -Manage all data requests are registered, logged, updated and sourced (as per requirements) Stakeholder Management: -Resolve relevant queries and complete query administration within Service Level Agreements, defined Turn Around Times and standards Position Specific Outputs -Participate in the planning and development of policies and procedures, clinic-specific procedures and programs as required Ensure compliance with established clinical policies and procedures -Reviews operational problems / policies and recommends solutions and changes to Medical staff -Serve as the first point of contact for patient and external customers -Generate and assist with reports, maintain inventory and order supplies -Stock take and management of expired stock -Ensure the availability of oxygen in the clinic and order as required -Manage the HCRW ensure monthly collection and availability of containers and sharps -Manage the waste manifest and service provider documents -Scheduling of meetings and Peer Educator engagement -Manage all aspects of the clinic administrative operations from scheduling appointments, patient registration and check out, coordinate referrals -Assist with daily stats by keeping an attendance register -Schedule patient appointments base on triage and availability -Assist with emergencies – informing control room, HR, Safety -Stocking of consultation rooms -Managing incoming calls and taking messages -Assisting with arranging health days -Create and manage a repository of documents -Maintain employee health files, according to policy -Preparing patient files and filing after each day -Maintain patient confidentiality -Oversee and ensure of day-to-day function of hardware and software. Report any malfunctioning -Ensure the tearoom is neat and has the required consumables -Responsible to lock the clinic and switch off lights and ensure all rooms are locked -Maintain a list of all contacts on site and for service providers -Ensure an employee name list is available monthly to the OHN -Receiving sick notes and signed and submit to HR for capturing -Preparing for on-site meetings Knowledge - Knowledge and application of relevant legislation including basic conditions of Employment, DOL - Knowledge of an Occupational Health and Primary Health Care environment Competency Requirements: Knowledge -Knowledge and application of processes and procedures -Knowledge and application of relevant legislation Skill -Attention to Accuracy and Detail -Planning and organising skills -Problem solving and decision making skills -Business Writing Skills -Communication Skills -Computer Technology Skills -Task Management -Adobe Creative Suite -Data modelling and evaluation -Numerical Ability -Customer Focus -Relevant systems knowledge and application Experience 2-3 years' relevant industry and administration experience Qualifications Matric; Administration qualification (preferred) Competitive Apply Now
