Job Description

Our Client is seeking a detail-oriented and organised Creditors Administration Clerk to join their Finance team. The successful candidate will be responsible for and not limited to managing the accounts payable and accounts receivable functions, ensuring accuracy, compliance, and timely processing of financial transactions.

Key Responsibilities:

Creditors

  • Ensure that Load sheets and counter sheets are posted daily. Report immediately if these sheets are not balancing
  • Monitor rep sample account and send out a report weekly
  • Credit Notes to be done every 2 Monday, Thursday and Friday
  • Monitor Staff & Rep Sample accounts and ensure that limits are not exceeded
  • Monthly Supplier recons to be done by 21 of each month. Proof of payments must be send monthly. Ensure discounts are taken and negotiated. No unreconciled items older that two months
  • Responsible for filling in supplier applications A -L
  • Maintain full master details of suppliers on system, e.g. credit limits, contact details, Vat numbers, Bee status and bank account information
  • Recon of cash creditors on a weekly basis
  • BBEE certificates of all responsible suppliers to keep up to date in file and system
  • Filing of all paperwork
  • Planner report for Sales Department
  • Reserve balancing and checking in Despatch
  • Posting of Cash bank daily

Admin Duties

  • All Filing related to Admin keep up to date
  • Report on Delivery Book and Ensure all invoiced before month end
  • Report on Returns (buying department) reason for returns (meeting)
  • Sign off all journals, do report and give feedback
  • Check authorization report and give feedback
  • Must be able to assist and do debtors and Financial clerk duties when they not at work
  • Assist and know the following duties for Financial Manager
    1. Commissions

2. Bank Payments

REPORTING

  • Credit Note Report (Monday) Conduct meetings with relevant departments
  • Staff account report
  • Rep Sample report

  • Always be on time for work

Qualifications and Skills:

  • Finance Diploma would be beneficial
  • Proven experience as a Creditors Clerk or similar role.
  • Knowledge of accounting principles and practices.
  • Familiarity with relevant software applications (e.g., accounting software, Microsoft Excel).
  • Strong attention to detail and accuracy.
  • Excellent organisational and time management skills.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficient in English and Afrikaans
  • Reside in Witbank or neighbouring areas
  • Reliable car and valid driver’s license
