Collating any adhoc payment requests, ensuring invoices supplied are valid and conform to finance requirement and are approved for payment. Preparing weekly payment schedules, summarising all invoices confirmed valid for payment, for managements review and loading approved payments on banking platforms. Preparing monthly creditor reconciliations, saving of documents on centralised server, addressing any queries raised on reconciliations, preparing summarised creditor payment schedules, and loading approved payments on banking platforms. Preparation of schedule reflecting the correct ledger allocation of payments made and importing all weekly payments made into the accounting software used. Clearing of debtor and creditor queries raised by management. Capturing of transactions in bank accounts and preparing monthly bank reconciliations. Assist in the finance department as required to meet reporting standard and deadlines. Payments Collecting relevant documents relating to payment requests. Ensuring that document supplied for payments request confirm to the finance requirements/standards. Following up with relevant parties to ensure that payments comply with finance requirements/standards and are signed off by the Mangers to authorize payments. Compile a summary report of all requested payments that conform to finance standards. Forward completed report to finance heads for approval at least one day before payments are required. Load all approved payments on the banking platform used by Calgro paying close attention to the details of the recipients being captured and referenced correctly. Checking the funds required for payments in each bank account and performing transfers to ensure the accounts are adequately funded. Forward received proof of payments to the relevant parties that requested/authorized the payment. Confirm allocation of transaction to accounting records and posting approved transaction to accounting records ensuring correct allocation and details of transaction are recorded using the transactions reference number. Manage specific creditors accounts assigned to yourself obtaining the relevant invoices and ensuring that they are compliant to the set department standards for approval and compliance to SARS requirements for VAT are met. Posting the relevant creditors transactions to the correct allocations and performing reconciliations to ensure that the balances are correct and agrees to accounting records. Ensure that assigned creditors that form part of the monthly cash management is submitted to the relevant creditors management to ensure that they are included in amounts due for month end. Posting remittance advices reflecting what invoices has been paid to ensure cashbooks are updated for payments. File documents in line with Finance Department standards, as well as the appropriate file and assisting relevant parties to trace documents on request. Taking responsibility for ensuring finance standards are complied with in relation to all payments manged by yourself. Notifying managers of any non-compliance to finance standards and assisting in rectifying issues identified. Cash Books On a weekly basis draw down bank statements from the relevant bank platforms and post the relevant transactions not recorded via normal transactions captured by finance staff, such as transfer, bank charges debit orders. Follow up with relevant staff in the department to ensure that transactions they are responsible for, effecting bank accounts are posted. Perform a reconciliation of the bank account balance as per bank statement agrees to the balance as per the accounting records. Identify amounts not reflected on the bank account or the cashbook and follow up to ensure that all reconciling items are cleared at month end. Submit monthly balanced bank recons with the appropriate documentation (Bank Statement, Bank Ledger and completed Recon) to manager for sign off as dictated by relevant deadlines. Ensure that all bank statements and recons are stored and easily accessible. Accounting Assist in preparing debtors invoices to external companies as well as Intercompany invoices as required. Following up with relevant accountants to reconcile and post transaction to correct differences in intercompany were required. Assist with any queries raised by management on any debtor or creditor balances. Additional functions (where required) Assist managers to post adjusting entries for corrections or to record transactions for month end or year end. Drawing supporting documents, schedules and reports as required for management or auditors. Critical Factors Payments Ensuring all payment requests are authorized and correctly invoiced to the relevant company and complies with SARS requirements for VAT. Ensuring that assigned creditors accounts are reconciled and associated invoices comply to set standards and are posted in the accounting records. Ensuring payment list is maintained and available to finance heads for review and approval on a timely manner. Ensuring that only authorized payments are loaded on the relevant banking platforms. Ensuring that mangers are informed of the status of their payments and forwarding proof of payments as required. Ensuring Bank balances are checked and maintained daily. Ensuring that all documents relating to payments are stored correctly. Cash Books Ensuring that all transactions reflected on bank statements agree to amounts reflected in the accounting record. Following up and clearing reconciling items that appear on the bank recon. Ensuring that all documents relating to bank recons are stored correctly. Accounting Ensuring Intercompany transactions and balances reconcile across the group. Ensuring all debtor and creditor queries are resolved in a timely manner. Minimum Required : Grade 12 Preferred requirement: A Certificate in accounting/finance or any relevant tertiary qualification. Work Experience: 3-5 years' experience in similar role . Must be computer literate with Excel skills. Attributes: Understanding of accounting principles. Team player and willingness to assist in the finance department as required. Ability to prioritize assigned tasks and meet strict deadlines. Demonstrate attention to detail. Demonstrate autonomy, ability and willingness to solve problems.
