Description Job Summary: The Debtors and Creditors Clerk plays a vital role in the financial management of the company by accurately maintaining records of accounts receivable and accounts payable. This position involves managing invoicing, payments, and reconciliations to ensure timely collection of receivables and payment of liabilities. The Debtors and Creditors Clerk contributes to the overall financial health of the organization by maintaining accurate and up-to-date financial records. Key Responsibilities: Debtors Management: Generate and send out invoices to customers accurately and promptly. Monitor accounts receivable aging and follow up on overdue payments. Communicate with customers regarding payment reminders, discrepancies, and payment arrangements. Maintain accurate records of customer transactions and payment histories. Creditors Management: Process supplier invoices, verifying accuracy and ensuring proper authorization. Maintain vendor accounts, reconcile statements, and resolve discrepancies. Prepare and schedule payments to suppliers within agreed-upon terms. Address inquiries and resolve issues related to supplier accounts. Reconciliation: Reconcile accounts receivable and accounts payable ledgers with the general ledger. Investigate and resolve any discrepancies or variances identified during the reconciliation process. Ensure all transactions are accurately recorded and classified in the accounting system. Reporting: Prepare and distribute regular reports on accounts receivable aging, accounts payable aging, and cash flow projections. Assist in the preparation of financial statements and reports as needed. Provide management with insights and recommendations based on financial data analysis. Collections: Implement collection strategies to reduce outstanding receivables and minimize bad debt risk. Work closely with sales and customer service teams to address customer concerns and facilitate timely payments. Compliance: Ensure compliance with company policies, accounting principles, and regulatory requirements. Stay updated on changes in accounting standards and regulations affecting debtors and creditors management. Documentation and Recordkeeping: Maintain organized and accurate records of all debtors and creditors transactions, invoices, and correspondence. Ensure documentation is filed and archived securely in accordance with company policies. Qualifications: Diploma or degree in related field is preferred. Proven experience in debtors and creditors management or a similar role. Proficiency in accounting software and MS Office applications, particularly Excel. Strong analytical and problem-solving skills. Excellent attention to detail and accuracy. Effective communication and interpersonal skills.
