This role requires a high level of coordination with various departments, such as sales, customer service, warehouse, and logistics, to ensure that orders are processed and fulfilled seamlessly The Dispatch Coordinator manages inventory levels meticulously, ensuring that stock is sufficient to meet demand and that all dispatched items are accurately documented. This position is crucial in maintaining high standards of customer satisfaction by ensuring that deliveries are completed on time, in the correct quantities, and in excellent condition The Dispatch Coordinator must also proactively address any issues that may arise during the dispatch process to prevent delays and ensure continuous improvement in service delivery Duties & Responsibilities: Order Processing and Dispatching: Scheduling and Coordination - Plan and schedule the dispatch of goods based on customer orders, delivery schedules, and priority levels Ensure that dispatch plans are optimised for efficiency and cost-effectiveness Order Verification - Thoroughly check and verify orders before dispatch to ensure accuracy in product type, quantity, and customer specifications Packing and Labelling - Supervise the packing and labelling process to ensure all items are correctly packed and labelled, including special handling instructions if necessary Communication and Coordination: Interdepartmental Liaison - Act as the primary point of contact between sales, customer service, warehouse, and logistics teams to ensure seamless communication and coordination Driver and Logistics Provider Coordination - Coordinate with delivery drivers and third-party logistics providers to schedule pickups and deliveries, ensuring they have all necessary information and documentation Customer Updates - Keep customers informed about the status of their orders, providing updates on dispatch and delivery times. Address any customer inquiries or issues promptly and professionally Inventory Management: Stock Monitoring - Regularly monitor inventory levels to ensure there is sufficient stock to meet order requirements. Report any discrepancies or shortages to the Logistics Manager Inventory Replenishment - Assist in the planning and execution of stock replenishment and reordering processes, ensuring timely restocking of inventory Cycle Counts and Audits - Conduct regular cycle counts and inventory audits to maintain accuracy and integrity of inventory records Documentation and Reporting: Record Keeping - Maintain detailed and accurate records of all dispatched orders, including delivery notes, invoices, and shipping documents Reporting - Prepare and submit regular reports on dispatch activities, delivery performance, and inventory status. Highlight any issues or areas for improvement Compliance - Ensure compliance with all company policies and procedures related to dispatch and logistics, including health and safety regulations Problem-Solving and Efficiency: Issue Resolution - Identify and address any issues or delays in the dispatch process, such as product shortages, transportation problems, or documentation errors Health and Safety - Ensure that all dispatch activities comply with health and safety regulations, minimising risks and maintaining a safe working environment
