Requirements: Matric is essential Preferential qualification related to Logistics / Road Freight Preferable - Minimum 2 years' experience within the road freight / courier industry. Working hours: 10am – 8pm Computer literate -MS Office skills essential Must have own transport Proven track record / management in line with above responsibilities. Excellent communication levels–must be fluent in English Entrepreneur skills Target driven and ambitious High levels of energy Confident, extrovert and enthusiastic Duties and responsibilities: Delivery Procedures: Supervising pre-delivery loading procedures. Collecting and accurate sorting of waybills according to route requirements. Checking cargo in terms of damages, shortages, type and verifying waybills against cargo stickers. Creating trip sheets for route vehicles. Scanning parcels into vehicles for delivery. Supervising cargo handling, loading and safety compliances. Recording daily departure times and controlling performance in line with requirements. Liaising with clients and resolving delivery queries as and when required / indicated. Monitoring vehicle loading and floor activity being present on floor at peak times. Ensure all "on hold" accounts freight is not sent out and reported accordingly. Reporting and correct handling of delivery discrepancy procedures and communicating accordingly. Responding to and communicating all delivery requirements or delays effectively. Conducting bay and floor checks, investigating non deliveries. Managing the correct control of freight being handed over to 3rd party suppliers. Scanning of POD's timeously in line with operations KPI's. Ensure accurate management of daily Chain store & Booking requirements. Ensue effective control of COD waybills. Collections Procedures: Responding to all telephonic, email collection requests and enquiries. Establishing / verifying client and collection data. Processing collections on system. Generating collections registers for drivers. Generating collection quotes to clients on request. Confirming and arranging for collections placed by branches and customers. Confirming and arranging all 3rd party collections. Updating customer information and daily collections on the system. Administering daily collection reports. Monitoring daily and adhoc collections and providing collection instructions accordingly. Resolving any collection queries effectively and timeously. Liaising with clients directly regarding collection information, data, and instructions. Monitoring vehicle activity using a tracking system. Ensuring goods have been collected on correct company documentation. Ensuring correct weights and dimensions are recorded and captured on waybill and Winfreight. Ensure the effective management of all Full truck load collections. Supervising of collection vehicle debriefing / offloading procedures. Supervising parcel sorting once collection vehicle returns for outbound procedures. Data Capture: Daily waybill capture and billing Parcel Management – Weight & Dimensions Ensure all waybills are captured onto WMS accurately. Ensure that waybills are captured and processed quickly and efficiently. Ensure that the weight and dimensions are recorded correctly on the waybill and WMS. Ensure all online client's waybills are imported into WMS. Process waybills into destination routes. Preparation and completion of relevant manifests. Manage the scanning of PODS timeously in line with operations KPI's. Driver management where applicable Customer service and communication with customers where required Outbound Linehaul: Management of parcel sorting into correct destination areas. Verifying waybill against parcel and parcel stickers. Supervising, scanning and monitoring the effective loading of linehaul vehicles. Sealing linehaul and manage handover of waybills and linehaul manifests. Ensuring correct handling and loading of all consignments and actions where applicable. Ensuring correct communication / distribution of freight information (manifests / pre-alerts). Ensuring scheduled departure compliance. Ensure cargo is lodged with 3rd party suppliers on time and accurately. Ensure the correct Line haul routing is in place and managed daily. In-House Site Management: Understanding requirements and roles of respective in-house sites. Management of respective in-house site to ensure operations procedures run smoothly. Ensure that effective communication channels are in place to control operations requirements between in-house sites and branch operations. Ensuring the correct control of administration and operational procedures are in place and managed daily. Providing team Maintenance by: Providing instructions, handling internal and external complaints and queries. Support and Training of team members. Ensure WMS and Operating systems are used correctly and understood by all relevant operations staff. Counselling and motivating improved performance where required. Ensure Branch Contact list is up to date and published internally and externally. Ensure the correct daily management of operational requirements to ensure Service compliance to clients as per operational KPI's. 3rd Party Suppliers: Understanding and managing the role and route selection of 3rd Party suppliers. Understanding and managing the Linehaul routings for relative 3rd Party suppliers. Ensure POD's are uploaded timeously and integration with 3rd parties are operational as per KPI's. Ensure POD reporting is in place and any non-deliveries are managed daily with 3rd parties. Understanding rates structures to ensure profitability. Management of authorized Contracts / Rates agreements on file / Routes aligned. Management of all FTL Transporters - authorized suppliers & rates agreements on file. Ensure that the Discrepancy system in place and managed daily. Ensure the effective management of all 3rd party claims for lost and damaged goods. Fleet and vehicle management: Ensure authorized fleet requirements are in place and all vehicles are on the road and operational. Ensure correct vehicle allocation to routes. Ensure the correct management of Fuel usage. Ensure correct management and control of Tyres. Compiling vehicle management and mileage reports. Ensuring all vehicles are always correctly Licenced and roadworthy. Ensure effective management of all vehicle COF's. Controlling of Fines and AOD's. Ensure effective management of all Servicing and Maintenance on vehicles, forklifts and equipment. Ensure vehicle management reports in place and managed daily. Operations KPI's: Ensure the correct submission and management of all operations management reports and KPI's observing necessary deadlines.
