Mission and Purpose:
To provide a high level Executive Assistant support function to the CEO and the senior executive team. Serving as the right hand to a busy CEO, you will be responsible for managing calendars, managing emails, drafting of presentations, managing MS Team meetings, booking of travel (international and national), co-ordinating and attending meetings and managing correspondence on their behalf.
Key Responsibilities:
- Manage CEOs diary and the organisational calendar for key internal and external stakeholder events, meetings and groupwide deadlines
- Conducts research in preparation for the leadership team member's engagements and meetings as and when required
- Manage board and executive committee meeting calendar including diary coordination and logistics
- Ensures the leadership team member's notes etc., are prepared in advance for presentations and meetings when required
- Ensures the leadership teams presentation materials are professionally prepared and communicated to parties in advance, if necessary
- Create marketing related materials such as slides/presentations for clients;
- Create internal communication documentation such as service line overviews.
- Oversee monthly Staff Meetings, including preparing agenda, securing speakers and ensuring presentations are ready and facilitating the meeting
- Coordinate teamwide responses to key external and internal stakeholders
- Arrange international travel, prepare expense claims and purchase orders for CEO and direct reports
- Diary management for the CEO including scheduling meetings
- Support the CEO with document preparation
- Coordinate country visits by international guests
- Book venues for internal and external meetings and events for the leadership team and organise catering and refreshments (if required)
- Maintain electronic filing system
- Assist with specific personal errands for CEO (as and when required)
- Act as a relief Reception only when its needed
Qualification, Skills and Expertise required:
- A related tertiary qualification (diploma/degree) is preferred
- Minimum 5 years' work experience in executive support role or C-suite exec level
- Experience gained within the financial services / management consulting / legal / corporate environment is highly advantageous!
- Excellent MS Office skills in particular with MS Powerpoint highly proficient in MS Outlook (including MS Teams), Word, Excel and PowerPoint
- Experience working on Mac would be advantageous
- Proven commitment to the highest level of customer / client service and confidentiality
- Good first-line managerial skills
- Flexible and able to deal with change
- Able to prioritise and manage multiple projects
- Drivers license and own transport is essential
