As the Executive Personal Assistant to the Global Brand and Marketing Manager at Curve Gear and Pump and Abrasion Technologies group of companies, you will provide essential support to a key senior executive within our marketing department. This role requires exceptional organisational skills, confidentiality, and the ability to manage multiple tasks efficiently. The successful candidate will be integral in facilitating the smooth operation of the Brand and Marketing department by handling administrative duties, managing schedules, and acting as a liaison between the manager and other departments or external contacts. Key Responsibilities: Administrative Support: Manage daily administrative tasks for the Global Brand and Marketing Manager including scheduling meetings, handling correspondence, and making travel arrangements. Communication: Serve as the primary point of contact between the Global Brand and Marketing Manager and internal departments, as well as external partners and vendors. Document Management and Creation: Prepare, organise, and maintain documents, presentations and reports related to industry projects. Ensure that all sensitive and confidential information is handled with discretion. Meeting Coordination: Organise and prepare for meetings, including gathering documents and attending to logistics such as venue and equipment, if required. Take minutes during meetings and follow up on action items. Project Assistance: Assist in managing marketing projects by coordinating with other team members, helping to track project progress, and ensuring deadlines are met. Expense Management: Handle expense reports, credit card analysis and budget tracking for the department, ensuring all expenditures are authorised and recorded properly. Event Planning: Assist in the planning and execution of events, including liaising with vendors, coordinating with other departments, and overseeing event logistics. Supplier Management: Sourcing, facilitating and communicating with local and international suppliers when it comes to products and execution. Obtaining quotes and sending it through for approval, as well as requesting payment to be made once approved. Office Administrator: Assist with the smooth running of the office, including the ordering of supplies and consumables. Qualifications: Proven experience as an executive assistant, personal assistant, or similar role, preferably within a marketing and/or branding environment. Exceptional organisational and time-management skills. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite, Google Suite and comfortable learning new software and systems. Ability to handle sensitive information with the highest degree of integrity and confidentiality. Strong attention to detail and problem-solving skills. Additional Skills: Flexibility and adaptability to manage changing work requirements and varying volumes of work and hours. Ability to work cooperatively and collaboratively with all levels of employees and management. A proactive approach and the ability to work independently with minimal supervision.
