Our Client in the Office Automation industry has a dynamic vacancy for an Executive PA/Office Administrator at their Head Office based in Pinetown, Durban. This key support role will suit an energetic individual with excellent interpersonal skills who is proactive, loves to multi-task and has strong administration skills. The individual must also have strong attention to detail. The successful candidate should have a passion for organising and running the day-to-day matters for 3 Directors in a dynamic office environment, be a general all-rounder and have the right skills and experience. The individual will provide support to the 3 Directors as well as provide general administration support for the Leadership Team in various areas across the business, which has offices in Durban, Johannesburg, and Cape Town. The incumbent will also be responsible for supervising the Receptionist based at the Durban Branch. Providing a competent P.A. service to the 3 Directors undertaking the full scope of P.A. duties including diary management, attending to correspondence, preparing presentations as well as attending to Directors personal administration and errands etc. Preparing, proof reading and sending out documents for the Directors and other management team members. Day-to-day management of the office administration function and supervising the Durban Receptionist. Co-ordinating travel arrangements across the organisation. Ensuring general housekeeping is taken care of in the Durban Branch (including purchasing groceries and other consumables). Perusing and formatting contracts for various departments within the organisation. Maintaining Insurance claims and schedules and other related matters. Recording of and safe keeping of company agreements and documents. Overseeing/co-ordinating company lunches. Tax and medical aid queries for the Directors. Co-ordinating company vehicle servicing, licensing and traffic fines. Telephone listing. Assisting with company cell phone contracts. Ordering of client gifts. Overseeing of hygiene and pest control. Review and correlation of credit card statements. Minute taking and distribution. Liaising with the various leaders and branches regarding various administration matters. Assisting the Durban Events Committee with certain staff functions. Processing relevant purchase orders and payments and following up on these. Working with the Maintenance Manager to ensure the GO building is well maintained from a décor perspective. Matric Certificate. Diploma or Certificate in Office Administration or any other relevant tertiary qualification. 3 - 5 years office administration experience. PC Literate (Microsoft Office Suite, Outlook are essential. Experience working on Pastel Evolution would be advantageous). Strong Microsoft skills required. Driver's license and own reliable transport. Basic Salary (Negotiable) Group Life Benefits Apply Now
