Minimum Requirements: - An excellent command of the English language; both verbal and written.
- Shorthand or speedwriting will be a huge advantage.
- Exceptional administrative and organizing skills.
- Respect and uphold confidentiality protocols by maintaining strict adherence to organizational policies and procedures regarding the handling and safeguarding of sensitive information.
- Emotionally mature and intelligent.
- Ability to liaise at executive/senior level.
- Resourceful and good researching skills.
Duties include, but not limited to: - Manage corporate calendar on a daily basis; e.g. Setting up appointments, appointment reminders, etc.
- Manage all incoming and outgoing e-mails.
- Prepare and prioritise daily urgent mail.
- Manage the pending / follow-up file.
- Write short letters, as required.
- Payment of all personal accounts.
- Reconcile accounts.
- Transfer of funds between accounts.
- Completion of bank instruction forms i.r.o. 3rd party payments.
- Release forex incoming payments.
- Maintain forex receivables for tax purposes.
- Complete travel arrangements, both domestic and international; including: Booking of flights, car hire, accommodation.
- Draw up comprehensive itineraries and prepare travel files.
- Research and download information and financial statements on relevant institutions.
- Handle / complete insurance claim forms.
- Send flowers to family members on their birthdays.
- Renewals of: Passports, visas, drivers licence, memberships, certificate of competence, etc.
- Family updates and record keeping.
- Hard copy filing.
- Electronic filing.
