Executive Personal Assistant – Full Day We are looking for a dynamic and proactive Executive Personal Assistant to work closely with our CEO and COO to execute a range of administrative duties, such as office administration, bookkeeping, DIY coordination, and other responsibilities that may arise as you grow in the role. The Executive Personal Assistant role demands that you be resourceful, hands-on, highly responsible, and able to take initiatives. Must maintain confidentiality about information, data, people, and scheduling, all with exceptional discretion and integrity. Responsibilities CEO Manage the CEO's inbox, schedule, and relationships with key internal and external stakeholders. Ensure there are no overlapping appointments in the CEO's diary and assist with queries. Researching personal tasks for the CEO and company and compiling summary documents. Booking and arranging travel, transport, and accommodation. Typing, compiling, and preparing reports, presentations, contracts, and correspondence. Assist the CEO in developing new business by researching potential clients and scheduling sales meetings. Lead and schedule internal meetings with meticulous planning and coordination. Provide support and weekly reports on individual performance indicators and processes to measure and improve team performance using Monday.com. Constantly identify areas of improvement across the organization and make actionable recommendations. Act as a supportive pillar in the CEO's personal life: managing family schedules, planning private events, and sometimes helping supervise household projects and more. COO Help compile and review contracts and legal documents. Report any client, financial, HR, or administrative issues. Bookkeeping (process of recoding company's financial transactions on a daily basis). Managing databases and filing systems. Implementing and maintaining procedures/administrative systems. Handle company petty cash. Ensure adherence to relevant company procedures and policies. Control the office supplies and make sure it is in accordance with office needs eg, stationary, groceries. Supervise cleaning/maintenance staff and cleanliness of office space. Coordinate and participate in office maintenance and renovations when necessary. Schedule internal meetings and taking minutes. Organise company events, conferences and entertainment.
