Packaging company seeks a Finance and Administrative Assistant
Duties and Responsibilities:
Adhoc computer work such as working on/with desktop computer, Microsoft Excel documents, Microsoft Word documents, Microsoft PowerPoint documents, Pastel Accounting System, Employee Payroll Software, and any other computer related tasks in order to fulfill the duties and responsibilities below.
Assisting Administrative Director as required
Requesting supplier quotations.
Supplier account queries
Supplier invoice capturing
Supplier order capturing
Supplier order tracking
Supplier Age Analysis Maintenance
Customer Age Analysis Maintenance
Customer credit notes processing
Customer price list maintenance (increases and decreases)
Credit control on unpaid accounts
Bank Queries
Arrange disciplinary hearings with staff
Maintain stock control journals
Processing month-end payments
Compile weekly staff wages using Time Log and Pastel Payroll.
Registering new staff on Time Tog system.
Processing all staff leave (Absenteeism reports, late comings, annual leave, sick leave, family responsibility leave, etc.)
Schedule monthly Board Meetings
Receptionist duties (answering the phone, answering emails, greeting guests)
Requesting supplier quotations
Maintain a Log of Company vehicles for Licenses renewals and servicing.
Personal assistance to the Directors (flight books, car hire, travel packs, etc.)
VAT and other tax submission reports
Maintain fixed Asset Register
Calculations for the depreciation of assets
Calculations for interest payments
Petty cash reports ad updates
Work with Auditors for company information if required
Create and maintain existing physical and online files
