Currently seeking a Hire Desk Controller for a leading Heavy Lifting company based in Cape Town. Sales and Client Liaison. Capture of data on the Hire and Workshop modules of the NAV System. Assist Branch Manager with administration related to cranes on hire. General Administration. KPA: Sales and Client Liaison Tasks within KPA: Field queries from clients related to the hire of cranes. (Candidate will be trained) Noting client's particulars and the details of job on the crane hire order/enquiry sheet. Spec'ing of crane subject to Representative/Branch Manager completing site inspection. Email confirmed quotations to client when requested. Keeping in contact with client (after sales service) – Only when the Technical Representative is not available to do so. If a telephonic query is received, refer to Technical Representative or Branch Manager to establish client relationship. KPA: Capture of data on the Hire and Workshop modules of the NAV System. Tasks within KPA: Capturing of contract, allocation to crane and printing of contract. Capturing of time sheets and printing of proforma's. Capturing of Crane hours as per Job Card. Emailing of requisition (as submitted by the Mechanic), subject to approval from Branch Manager. Completion of order (only when bought local). Completion of goods received. KPA : Handling of operational duties related to cranes on hire. Tasks within KPA: Handing of contracts to operators with correct addresses and dispatching crane to job after the job has been discussed with the Operator by the relevant Technical Representative / Branch Manager/ Crane Coordinator/ Operational Supervisor (If required). Communicating with operators before & after the hire. Communicating with client if any problems occur with crane if reported to the office. Notify Branch Manager immediately. When client makes contact with the office (in absence of contacting the Technical Representative) – to assist with dealing with breakdowns by reporting it to the Mechanic and Branch Manager. Checking that all paperwork is received from operator. Ensure that operators are delivered & collected from site as part of daily planning with Branch Manager and Driver. (Some Branches have a Crane coordinator/ Operational Supervisor that deals with this). Arranging & issuing of permits for cranes subject to receiving approval from Branch Manager. Assist Branch Manager in arranging of replacement operators (subject to request by the Branch Manager). KPA: General Administration Tasks within KPA: Splitting of Proforma invoices and preparation of summaries for timeous submission to Finance Department Buying of parts/tyres etc for branch in consultation with the Branch Manager. Completion of daily crane movements for submission to Head Office by 9h00. Receiving of payments on COD's. Calculating & listing of hours for wages to be submitted by 10h30 each Monday. Issuing of wage slips (payslips). Monitor fuel consumption of cranes and complete report for submission to Finance Dept. Variances to be reported to Branch Manager. Preparing requests for credit notes for submission to Finance Department. Ensure that all filing is done correctly and is kept up to date. Processing of creditor's invoices. Assist Finance Dept. in debtor's queries. Assist the Branch Manager with obtaining outstanding order numbers from clients (When Technical Rep is not available to do so / or if requested by Branch Manager). Purchase of tickets for operators on training and transporting of operators when required. Purchase of office supplies and general shopping. To do the banking as required. General typing. Assist Branch Manager with the Administration of petty cash (Subject to Branch Manager approval). Assisting in any way to ensure the branch is always kept up to date and runs efficiently.
