Job Summary The core function of the successful candidate is to ensure integrated, effective and efficient delivery of the marketing plan in tandem with the department strategy through all events required by the company. The functions also require coordination of functions of stakeholders as when required. Job Description Foster integrated event planning efforts with the Marketing manager, marketing team and external parties as appropriate to the event. Plan, schedule and co-ordinate logistical activities for the company events. Evaluate programme, event history, budget, contracts and planning committee recommendations to determine requirements such as space, facilities, technology, equipment, accommodation, catering and on-site management. Assist in developing departmental budgets; assist in cost analysis, cost control and develop revenue enhancement strategies. Serve as primary liaison with internal and external constituencies on all matters relating to program activities. Send out the invitation and manage RSVP List. Gather data and develop and prepare reports, summaries, analyses and projections. Co-ordinate marketing material required for meetings, events and exhibitions. Coordinate appointments and visits to see our space, and scheduling of events on the calendar. Prepare and modify event contracts as requested Propose new ideas to improve the event planning and implementation process. Serve as liaison with vendors on event-related matters. Managing on-site production and clean up for events as necessary. Ensure events insurance and indemnities are in place for all the events. When dealing with services providers on rider specifications ensure that the spec is met in accordance with all contractual arrangements. Review and coordinate contractual agreement with suppliers in conjunction with the legal department Qualification Requirement Degree in Event Management / Marketing Minimum Experience in years & Skills 3-5 years post qualification experience. Excellent academic track record. Skill in budget preparation and fiscal management. Ability to gather data, compile information and prepare reports. Knowledge and understanding of meeting and event planning principles, requirements, procedures and available resources. Ability to perform complex tasks and to priorities multiple projects with skills in organizing resources. Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches. Ability to plan organize and facilitate a range of special events.
