Operational Efficiency Strategy Implementation Ensure efficient flow of operational processes related to outbound logistics. Explore opportunities to increase productivity and efficiencies between Warehouse, Dispatch, and Transport departments. Warehouse Management Oversee ethical and patent warehouse processes and procedures. Manage allocation of storage space and accurate stock rotation in primary warehouse locations. Ensure efficiency of assembling (picking) procedures. Manage turnaround time on orders picked according to cut-off times. Ensure efficient turnaround time of reusable packaging material. Risk Management Manage risks: incorrect picks, damages, short-dated stock within ethical and patent warehouse departments. Implement SOPs: load to cage, invoicing, trip-sheet, security sheet, and record keeping. Ensure compliance with MCC: general storage conditions according to Good Wholesale and Pharmacy Practice. Dispatch and Transport Oversee dispatch and transport processes and procedures. Ensure that daily workload and routes are defined, planned, and communicated. Oversee implementation of National Fleet Policy. Manage risks: fleet vehicle maintenance, vehicle inspections, and controlled budgetary expenditure. Oversee fleet administration and delivery planning. Submit monthly fleet reports. Respond to accidents and breakdowns, compile incident reports, and manage insurance claims. Route optimization and consolidation strategies. Customer Service Issue Resolution Investigate and report on all delivery-related CRM queries, follow up, and take corrective action. Oversee and liaise with customer service clerks concerning shortages, queries, and complaints from customers. Efficiently deal with customer complaints and determine the root cause regarding shortages, tampered, or damaged goods. Returnable Packaging Manage open cycles for returnable packaging material, ensure collection, and reconcile daily. Compliance and Safety HSE and OHS Compliance Maintain general compliance with relevant HSE and OHS Act. Ensure compliance with MCC: General storage conditions according to Good Wholesale and Pharmacy Practice. Actively participate in the Health and Safety Committee, ensure implementation of all HSE-related policies. Leadership and Administration Cost and Budget Management Implement cost-saving initiatives. Maintain budget input and control expenditure. Staff Management Responsible for training and development of staff. Conduct performance appraisals with subordinates annually. Allocate work and monitor absenteeism. Plan and manage leave, timesheets, and hours for the outbound departments. Manage utilization of temporary staff employment. Operational Meetings and Documentation Hold operational meetings weekly and as required. Complete and submit any human resources-related documentation for record-keeping. Participate and be on duty on Saturdays as per schedule. Take corrective action in accordance with company policy and procedures. Additional Responsibilities Fleet and Traffic Management Act as a proxy for DC Fleet. Manage traffic infringements related to the DC and/or Proxy. Consolidate departmental reporting and investigate discrepancies. Health and Safety Maintain good warehouse practices. Take an active part in HSE training and policy implementation.
