National Admin Coordinator - Bellville

National Admin Coordinator Job Overview: This position involves overseeing administrative tasks related to operations, coordinating communication between different locations, and ensuring compliance with company policies and procedures. The coordinator will work closely with the Operations Manager, showrooms/ stores, and other stakeholders to streamline processes and enhance overall efficiency. Key Responsibilities: Administrative Support: Manage administrative tasks such as data entry, filing, and document organization. Maintain accurate records of retail-related documentation including contracts, invoices, and reports. Assist in the preparation of presentations, reports, and other materials as needed. Communication Coordination: Serve as a central point of contact for communication between locations, coordinators, and head office. Facilitate the distribution of information such as sales, operational updates, and policy changes to staff. Coordinate meetings, conference calls, and other communication channels to ensure effective information flow. Inventory Management: Support inventory management efforts by monitoring stock levels, conducting reconciliations, and coordinating transfers between retail locations. Assist in the implementation of inventory control procedures to minimize stock discrepancies and optimize inventory turnover. Schedule, manage, and feedback on commodity checks and stock takes nationally. Compliance Monitoring: Ensure compliance with company policies, procedures, and regulatory requirements across all locations. Conduct regular audits and inspections to identify areas for improvement and address any compliance issues promptly. Assist in the development and implementation of training programs with the National Trainer to educate staff on compliance-related matters. Operational Support: Provide operational support to managers and staff as needed, including assistance with scheduling, staffing, and customer service. Collaborate with cross-functional teams such as marketing, finance, and logistics to support initiatives and resolve operational challenges. Manager expects: Strong excel skills (Pivot tables , VLookup formulas, etc.) Draw reports (compare years, stores, low/replenish stock, best/slow sellers, monthly, highlights) Analyse reports’ data Liaise with stock control manager on stock replenishment/allocations Liaise with Training Coordinator on policies and procedures not followed at stores Liaise with Risk, Compliance and Systems officer on commodity counts Liaise with Showroom Operations and Admin Support on stock takes General admin (eg. book flights) Might travel to other branches, initially, to visit stores Weekly stock replenishment Track stockholding by commodity by store by month Collect, analyze, and interpret data from various sources to identify trends, patterns, and opportunities for improvement Generate reports, dashboards, and visualizations to present findings and insights to key stakeholders Collaborate with cross-functional teams to understand business requirements and translate them into actionable plans and initiatives Monitor key performance indicators (KPIs) and provide regular updates and recommendations Identify risks and opportunities through data analysis and provide recommendations to mitigate risks and capitalize on opportunities Develop and maintain forecasting models to support demand planning and inventory management processes Apply Now
