Closing date: 31/03/2024 Office Administrator: Emdeni Skills Development Centre The purpose of the job The incumbent assists the skills centre manager with secretarial duties, meetings, functions, stock control, overall administrative duties and financial support services for the centre. In the absence of the manager and the trainings coordinator, the incumbent will act as an immediate supervisor for the skills centre staff. Assist with psychosocial assessment for prospective students and provide psychosocial support to registered students using relevant social work methods. Responsibilities Assist with psychosocial assessment for prospective and provide psychosocial support to registered students and complete necessary reports. Assist with recruitment of students and conducting education and awareness campaigns to promote skills centre services. Assist with selection and screening of prospective students. Assist with mentoring volunteers and assist them in their skills training. Prepare and manage correspondence, DSD reports and other related documents. Be able to give inputs for business plans, progress reports and budgets for the centre. Ensure that there is effective and efficient filing system for the centre both hard copies and electronic documents using Soweto Care System database. Compile and distribute all agendas and minutes of meetings of the division. Implement and maintain office systems, calendars, travel arrangements, insurance register, inventory and so forth. Handle incoming mail, calls and other material and ensure bookings are done for vehicle maintenance as scheduled. Liaison with internal and external clients, managers and beneficiaries/ students. Competencies and experience Verbal and written communication skills, information management, organizing and planning, attention to detail, stress tolerance, time management, customer oriented. Knowledge and experience of relevant software applications including working with spread sheets and word processing. Knowledge of administrative and clerical procedures and report writing. Personal Attributes The incumbent must demonstrate the following personal attributes: Honest, trustworthy, respectful, flexible and demonstrate sound work ethics. Be able to demonstrate confidentiality. Minimum requirements Grade 12, computer training and relevant diploma or degree a must. Further training requiring registration with South African Council for Social Services Professionals (SACSSP) compulsory. Basic computer skills, MS word, MS excel, PowerPoint.
