Summary The Scheduling Clerk is responsible for scheduling all patients requiring appointments in any of the office locations. The Scheduler frequently interacts with physician offices and patients, therefore must act in a courteous and professional manner at all times. Job Profile 2753 - Oral Surgery Scheduler Scheduled Weekly Hours 40 ESSENTIAL FUNCTIONS: Schedules all patients requiring testing according to the guidelines of the department or as instructed by the Clinical Coordinator or Department Manager. Captures all of the necessary information to pre-register patients. Clearly instructs patients where to report when they arrive for testing and what to bring. Accurately completes the scheduling process. Collects and verifies all demographic, insurance and medical information from the patient and/or patient's family. Enter all information into the computer and make updates or changes as necessary. Prepare required material for distribution to the appropriate departments. Communicates any scheduling problems to the Clinical Coordinator or Manager of Department. Prints and distributes the schedules as needed. Assist with monitoring and maintaining inventory supplies for department. Keeps updated and shares information with coworkers related to the department. Complies with the established chain of command for reporting work related problems. Demonstrates/models the core values and customer service behaviors in interactions with all customers (internal and external). Maintain a working knowledge of the departments "downtime" procedures. Maintains confidentiality of all materials handled within the Network/ Entity as well as the proper release of information. Complies with Network and departmental policies regarding issues of employee, patient and environmental safety and follows appropriate reporting requirements. Demonstrates/models the Network's Service Excellence Standards of Performance in interactions with all customers (internal and external). Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process, and Safety. Demonstrates financial responsibility and accountability through the effective and efficient use of resources in daily procedures, processes and practices. Complies with Network and departmental policies regarding attendance and dress code. Demonstrates competency in the assessment, range of treatment, knowledge of growth and development and communication appropriate to the age of the patient treated. OTHER FUNCTIONS: Greet and direct patients entering department. Answers the telephone in a timely and courteous manner at all times. Assist with the training of any new schedulers. Offers suggestions to the Manager of the Department which may improve services for patients. Fax requested information to physician's offices. Assist with maintaining patient charts. Assist with monitoring and maintaining inventory supplies for department. Other related duties as assigned PHYSICIAL AND SENSORY REQUIREMENTS: Sitting for up to 8 hours per day, up to 4 hours at a time. Frequent use of the hands/fingers for data entry. Hearing and speaking as it relates to normal conversation. Seeing as it relates to general vision. POTENTIAL ON-THE-JOB RISKS: None Identified. SPECIFIC PROTECTIVE EQUIPMENT AVAILABLE: N/A MOST COMPLEX DUTY: To facilitate and to ensure the appropriate scheduling of patients for the department. SUPERVISION (RECEIVED BY AND/OR GIVEN TO): Supervision given by the Clinical Coordinator and Dept. Manager. COMMUNICATIONS: Must demonstrate excellent verbal communication skills required for interacting with other departments, patients, families and physician and their office staff. ADDITIONAL REQUIREMENTS: N/A QUALIFICATIONS) (MINIMUM) EDUCATION: High School Graduate or the equivalent TRAINING AND EXPERIENCE: Experience in the Dental or Medical field is preferred. Customer service skills & the ability to multitask is required. Medical Terminology and typing or data entry skills preferred. Familiar with working in Microsoft Word, Access and Excel.
