Personal Assistant / Administrator - Johannesburg

Area/Location: Krugersdorp (Travelling required to Industria West)
Job Summary:

As a Personal Assistant/Administrator, you will play a crucial role in ensuring the smooth operation of administrative and organizational tasks within our clients manufacturing facility. You will provide comprehensive support to the executive team, assisting in managing their schedules, communications, and administrative responsibilities. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced, high-pressure environment.

Key Responsibilities:
  • Executive Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling appointments, and coordinating meetings.
  • Travel between the head office and the factory for various operational requirements
  • Communication Management: Serve as the primary point of contact for internal and external communications, screening and prioritizing correspondence, emails, and phone calls.
  • Documentation and Filing: Maintain accurate records, files, and documentation, ensuring efficient organization and accessibility of information.
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and transportation, while considering tight schedules and last-minute changes.
  • Meeting Coordination: Coordinate logistics for meetings, including booking conference rooms, preparing agendas, and organizing necessary materials.
  • Event Planning: Assist in planning and organizing company events, conferences, and team-building activities.
  • Data Entry and Analysis: Compile and analyze data as needed, preparing reports and presentations for executive review.
  • Task Prioritization: Manage competing priorities and deadlines effectively, demonstrating adaptability and flexibility in a fast-paced environment.
  • Confidentiality: Maintain strict confidentiality regarding sensitive information and proprietary data.
Qualifications:
  • Proven experience as a Personal Assistant, Executive Assistant, or Administrator in a high-pressure environment, preferably within the manufacturing industry.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Ability to multitask, prioritize tasks, and meet deadlines under pressure.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility to work occasional evenings or weekends as needed.
