The Project Coordinator is primarily responsible for the accurate and efficient delivery of project administration duties including assisting the project management team with coordination of resources, equipment, meetings, and information. The Project Coordinator will help and contribution to the project organisation with the goal of projects being completed on time, within budget and to the quality standards of Viadex. Monitors project progress and creates project status reports for stakeholders Successfully manages tasks to completion and within deadline as per project requirements Maintains process and project information pages Tasks regarding due diligence and policy requirements are performed accurately and to completion Assists with project reporting as required Project risks are recorded and escalated to the project manager for mitigation Ensure that share point sites, Autotask and Microsoft Teams are accurately set up, curated and maintained for new and existing projects Electronic data relating to projects is successfully loaded to Share point sites and Microsoft Teams Maintains project resource schedule Books project resources timeously, ensuring diary availability and follows up with resource to ensure awareness of assignment Ensure all resources for project have the correct and relevant information in order to carry out the project delivery Resourcing problems are mitigated and escalated when required Schedule and prepare agendas for Internal and External Project Kick-off meetings Project documentation, compliance documentation and health & safety are accurately set up, curated and maintained for new and existing projects Provides input into the development of preventative measures and document issue resolution procedures Project control documents are accurately maintained and reconciled Gives input into the development of relevant document templates for project control Is aware of order progress through to delivery, keeping customer updated throughout Interacts with the customers in a courteous and professional manner Provides regular updates on customers on projects Liaise with customers for information needed Schedules customer project progress meetings Curates, manages and sends out Project on a Page (PoaP) weekly to all customers with existing projects 3rd Party coordination and communication Matric or equivalent secondary education.
